    Gold's Gym SoCal Group is looking for a part time Administrative Retail Assistant to help our amazing retail department! We are a fast-paced company with 23 locations and growing! Gold’s gym is looking to add another team member to join us in assisting all our locations and making them look unbelievable!

    Responsibilities:

    Purchase Order Management:

    Regularly review and scan open purchase orders into the accounts payable software to ensure all transactions are recorded promptly and accurately.

    Monitor open purchase orders to identify any discrepancies or incomplete records requiring follow-up.

    Request or retrieve invoices for all open purchase orders from vendors and suppliers.

    Confirm that invoices accurately reflect the original purchase orders, including product descriptions, quantities, and prices.

    Delivery Confirmation:

    Communicate with clubs (or designated locations) to verify the receipt of orders. Confirm that all items listed on the invoice match the delivered quantities.

    Obtain signed packing slips from the club, ensuring they are accurately completed to confirm receipt and quantity verification.

    Thoroughly cross-reference invoices and signed packing slips to ensure there are no discrepancies in quantity, description, or pricing. Flag and resolve any inconsistencies before proceeding.

    Inventory Entry and Allocation:

    Use validated invoices and packing slips to enter received products into the inventory system accurately. Assign the received items to the correct profit center or location.

    Ensure inventory records are updated in real time to reflect the most accurate stock levels for each location.

    Purchase Order and Accounts Payable Integration:

    Update the purchase order software with stock confirmations and invoice details.

    Post the invoices within the accounts payable system for timely processing and payment.

    Supplemental Order Processing:

    Process supplemental orders for each location by analyzing the club’s requested quantities and cross-referencing with current inventory levels.

    Adjust order amounts as needed to align with stock availability and operational needs.

    Maintain rigorous accuracy when recording inventory and financial data. All entries should be audit-ready, with clear documentation for traceability.

    Perform regular audits of inventory records to ensure consistency across systems and to identify and address discrepancies proactively.

    System Maintenance and Reporting:

    Ensure all data entered into purchase order, accounts payable, and inventory management systems is accurate and up to date.

    Generate reports as needed to provide visibility into inventory levels, outstanding orders, and payment statuses.

    Communication and Collaboration:

    Collaborate with clubs, suppliers, and internal departments to resolve discrepancies and streamline processes.

    Provide support and training as needed to ensure all team members adhere to inventory and accounts payable

    procedure

    Skills:

    Part time: 20 hours a week

    Located at our corporate office in Burbank

    Reports to our Retail Director

    This role requires the ability to move and lift up to 35 lbs. Standing, for extended periods of time and ensuring a professional demeanor, clear communication, and appearance in a clean uniform are also required
