    Job Description

    Position Overview

    Infina is seeking a highly skilled Administrative Support Specialist to support the **** Federal Aviation Administration’s Onboarding initiatives. This individual must have strong administrative, writing, organizational, and interpersonal skills. Must be office oriented, clerical, coordinating, and comfortable serving in an administrative role.

    Location:

    • Position is located onsite at the FAA Academy, Will Rogers World Airport, Oklahoma City, OK 73169
    • With scheduled remote work opportunities available

    Duties and Responsibilities:

    • Typical functions include telephone answering, desk staffing, copying, data entry, regular cyclical report generation, distribution, and pre-defined task execution.
    • Automation-related and administrative management support to Program and Project Managers.
    • Provide information data retrieval of training records, class records, and placement records.
    • Analyze data and format reports using Microsoft Excel to identify trends and assist with process improvement and documentation of office procedures.
    • Coordinate with the client to support new hire air traffic controller selectees, including escorting to training, documentation support, and emailing placement results.
    • Provide research to determine records location, accurate and effective records retrieval, review of records, preparing reports of findings, distribution of case files, as well as the maintenance, storage and protection of information contained in the system of records.
    • Provide account management services for various applications and reporting systems to include adds, moves, and changes for access to applications and reporting systems.
    • Provide administrative assistance, applicant coordination, scheduling, and administering exams for applicants.
    • Provide administrative support related to data currency to include cross-checking information maintained in FAA Networks.
    • Attend and facilitate meetings and distribute agendas to all attendees and stakeholders, when directed by the Program Office and/or the COR.
    • Prepare and distribute meeting minutes.
  • Qualifications

    Qualifications

    • Must have a HS diploma
    • Must have at least six (6) years of relevant experience
    • Excellent written communication skills
    • Proficient in MS Outlook and Office 365 applications
    • Experience with 508 compliance is a plus
    • Must be a US Citizen or Green Card holder
    • Ability to obtain a Public Trust security clearance
    • Federal Aviation Experience is highly desired
