Job Title: Administrative Technician (44149)
Job Locations: Virginia Beach, VA 23456
Schedule: Monday - Friday, 8:00am – 4:30pm
Payrate: $18.91/hr
Job Duties:
- Answer high volume of phone calls
o Scheduling physicals/TB appointments/Lab Appointments
o Requesting records/copies of labs
o General questions
o Questions about FML/RTW process
o Departments calling checking if their employee sent in a note
o Employees checking on status of notes (if the note is processed/if we have received their notes)
- Answering intercom/door phone – let people in for appointments or to drop off their paperwork
- Checking in patients for physicals, verify duty status appointments with providers, PPD give/read walk-in appts., immunization appointments, etc.
- Monitoring OccHealth email box for:
o General questions
o FML paperwork turned in
o Volunteer physical paperwork
o Employees will sometimes reach out to OCCHealth email to schedule/reschedule their physical
- Receiving doctor’s notes/paperwork that the employees drop off to OHS or fax. Scanning them to the Network/OccHealth email for processing.
o Logging the note or FML paperwork on the fax log
- Making copies of frequently used forms as needed
- Entering new patient demographics when new hire forms are received from department.
- Pulling files and preparing them for assigned day of the week (Tuesdays) for the patients scheduled on that day. Also, creating files for new employees that are scheduled for their pre-employment physicals
- Putting files back together after the PA has reviewed the labs and mail the letters to the employee. File the medical chart away in the records room.
- Closing out files for employees who have resigned/terminated/retired
- Monitoring the Fire Calendar (“FD Physicals Calendar”)
o Adding the appointments that the Fire department has scheduled to OHM
o Tracking the overdue physicals with a spreadsheet – updated frequently when they are scheduled or when they do not show for their appointments
o Contacting the Fire Department when there are no shows or when I notice a person has declined their appointment on the calendar – will hold appointment for 1 week so the fire dept. has an opportunity to try and fill the appointment.
o Swapping out the individuals when the fire department emails me (i.e., if there is a shift change, person is out of town, etc.)
- Contact patients to return to OHS if their labs are dilute or contacting them for medication verifications
- Preparing records request for employees, Risk Management, City Attorney’s Office, City Auditor’s Office
- Copying Lab Results when the employee requests them
- Copying results for FEMA physical when requested by the firefighter
- Contacting Departments regarding no shows/reschedules
- Holding appointments for new hires when departments request
- Sending new hire physicals that have been approved and signing off on Taleo Physical
- Process FML paperwork and the send FML Get Reports to the proper individuals (employee, department contact, leave donations box)
- Sending approved and/or deferred volunteer paperwork to the proper department and adding the physical to OHM – if the volunteer is deferred, the volunteer is notified of what we are missing.
- Checking our DOT list with the CDL list sent by Public Works for accuracy and make any necessary changes – PW sends updated list typically once a month
Minimum/Special/Additional Requirements:
- Requires any combination of education (above the high school level) and/or experience equivalent to (4) four years in fields utilizing the required knowledge, skills, and abilities.
