    Job Description

    St. Joseph Center (SJC), a multi-program social service agency is recruiting a Administrative Assistant for the ODR program. Serving as a team member and while adhering to the mission of St. Joseph Center, the Admin Asst. is responsible for providing both administrative and overseeing day-to-day expenses of the program/department.

    The Office of Diversion & ReEntry (ODR) has awarded St. Joseph Center a contract to provide intensive case management services to individuals in the ODR program. The purpose of the ODR program is to divert individuals with serious mental, physical and/or substance use needs away from the criminal legal system and into tailored/long-term community-based care, housing and support services.

    Under the supervision of an Agency Director(s), the Administrative Assistant will:

    • Oversee program budget and expenses
    • Track day to day program expenses
    • Oversee SJC accounts and use appropriately to order supplies & supportive services for clients
    • Support team with file monthly file reviews
    • Support team with updating master client roster
    • Perform administrative duties of program and provide support to the ODR teams
    • Perform clerical duties to include but are not limited to computer tasks, faxing, mailing, filing and copying.
    • Handles telephone and e-mail inquiries, responding when/as appropriate.
    • Arranges conference calls, meetings and notifying all appropriate parties.
    • Assists in the coordination and set-up of scheduled meetings.
    • Creates and modifies Word/Excel documents as directed.
    • Performs data entry related tasks.
    • Other duties as assigned.

    Qualifications:

    • Knowledge and use of computers and software including but not limited to Excel and Word required.
    • Experience with data input and filing required.
    • Ability to multi-task and attention to detail required.
    • Previous office experience preferred.

    SUPERVISORY RESPONSIBILITIES

    This position has no direct supervisory responsibilities, but may guide or orient lower-level support, technical, or professional staff.

    WORK ENVIRONMENT

    The employee may be in contact with individuals and families in crisis who may be ill, using alcohol and drugs, and who may not be attentive to basic personal hygiene, health and safety practices. The employee may experience a number of unpleasant sensory demands associated with the client’s use of alcohol and drugs, and lack of personal hygiene. The employee must be ready to respond quickly and effectively to many types of situations, including crisis situations and potentially hostile situations.

    The noise level in the work environment is usually moderate in an office setting. Sometimes work may become stressful when working under pressure.

    Pay Range: $21.5/hour
