The Administrative Assistant Administrator will assist in supporting the customers and employees of Advanced Disaster Recovery Inc out of our Marlborough office. They will collaborate with across different levels of the company, so it's essential that they have excellent communication skills and feel comfortable working in a team environment. Advanced Disaster Recovery, Inc., is a leading restoration contractor in the NY/NJ/CT area with more than 35 years of experience in disaster restoration, is looking for motivated, service-centric full-time employees to help grow its team of professionals in the region. We provide restoration services – such as emergency response, emergency pre-planning, construction services, catastrophe response, contents restoration, environmental services, mold remediation, fire and smoke damage, and water damage services – to commercial, insurance and residential clients. We provide services 24 hours a day, 7 days a week, 365 days a year.

    JOB SUMMARY

    The Administrative Assistant provides support to Operations, Sales and HR departments assisting in daily company's general administrative activities.

    POSITION QUALIFICATIONS

    •  High School Diploma or equivalent and 2-4 years' experience in related area.
    • Associates degree or related technical school training, preferred.
    • Must have a valid Driver's License and transportation to carry out errands.
    • Proficiency in Microsoft Office Suite and Google Hands-on experience with office equipment
    • Solid written and verbal communication skills
    • Ability to be resourceful and proactive when issues arise
    • Multitasking and time-management skills, with the ability to prioritize tasks

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Operations support:

    1. Scheduling and Coordination 
    2. Ordering Permits
    3. Filing
    4. Certifications for field crew
    5. This person can assist with safety training compliance
    6. Ensure all subcontractor insurance certificates are up to date
    7. TPA non-job related compliance activities
    8. Schedules all meeting requests
    9. Maintains inventory of all office supplies
    10. Assists office staff with requests as needed

    Sales Administration support:

    1. Network at weekly BI meetings to generate leads and receive referrals
    2. Liaison with marketing firm and coordinate marketing materials
    3. Maintain company website
    4. Monitor various company email groups
    5. Respond to Google review on behalf of Company.

    Human Resources support:

    1. Assists with HR functions as needed including submission of health and welfare enrollments, workers' compensation, onboarding activities, talent acquisition activities, and maintaining company bulletin boards
    2. Creates ID badges for employees
    3. Assists with projects as needed
