    Job Description

    The Payroll & Billing Coordinator is responsible for processing all aspects of weekly payroll for employees.

    THE PRIMARY RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO, THE FOLLOWING:

    • Monitor submissions of approved timesheets and accurately enter data into the payroll system
    • Audit timesheets and compare them to payroll
    • Ensures valid data transfers between systems
    • Run weekly payroll
    • Enter new hires into the payroll system, add wage garnishments, health insurance deductions, etc. into the system as required
    • Confirm the calculation of wages, overtime, and deductions to ensure compliance with applicable federal and state laws, regulations, and labor agreements/contracts
    • Responsible for the coordination of efforts between payroll, human resources, finance, operations, and other departments to ensure proper flow and maintenance of employee data
    • Establish/maintain employee records
    • Ensure employee changes are entered correctly and made on a timely basis
    • Billing for consultant hours through client VMS portals
    • Reviewing VMS Contracts to ensure billing compliance
    • Billing on employee incidentals and expenses such as hotel, travel, rent, per diems, daily allowances, etc.
    • Reconciliations
    • Dispute resolution
    • Working directly with employees to ensure receipt and accurate entry of expenses
    • Work in Excel, ADP, and Bullhorn to manage data

    QUALIFICATION AND SKILLS:

    • Must have at least 1-3 years of payroll processing and data entry experience, preferably in a healthcare staffing setting
    • Proficient in Microsoft Office Applications, most importantly Excel (MUST BE PROFICIENT AND HAVE A WORKING KNOWLEDGE OF PIVOT TABLES AND VLOOKUPS)
    • H.S. diploma or GED is required. Associates degree preferred
    • Maintain confidentiality and discretion
    • Ability to work in a fast-paced environment
    • Excellent verbal and written communication skills
    • Detail-focused and results-oriented
    • Ability to problem solve, meet deadlines and prioritize
