    FLSA Status: Exempt / Full-Time

    Summary:

    Our client is seeking an experienced Air Ambulance Program Manager to oversee, coordinate, and participate in the logistical, financial, and nursing operations of their air ambulance service. This role is vital in ensuring the delivery of high-quality patient care during medical flights. The Program Manager will manage a team of medical crew members, collaborate closely with pilots, medical staff, and operational personnel, and maintain compliance with safety standards and regulatory requirements.

    Key Responsibilities:
    • Oversee the delivery of the medical program and its activities, ensuring alignment with the organization's mission and goals.
    • Ensure compliance with relevant legislation, professional standards, and organizational policies.
    • Develop and implement new initiatives, long-term goals, and objectives to enhance the program’s effectiveness and support the organization’s strategic direction.
    • Lead a proactive risk management program in compliance with federal, state, and local regulations.
    • Identify and mitigate risks associated with program activities.
    • Maintain and utilize an evaluation framework and performance matrix to assess the program’s strengths and identify areas for improvement.
    • Function as the Quality Manager and Compliance Officer, reviewing medical records in collaboration with the Medical Director.
    • Monitor safety standards and implement corrective actions to mitigate risks.
    • Maintain compliance with HIPAA, EMTALA, NAAMTA, OSHA, and state regulations.
    • Foster a culture of continuous learning and professional development within the medical crew.
    • Play a key role in recruiting, selecting, orienting, training, assigning, scheduling, coaching, and disciplining program staff.
    • Supervise, mentor, conduct performance management, and lead a team of medical crew.
    • Coordinate and conduct clinical education, and organize and maintain training logs.
    • Ensure adequate staffing levels and manage scheduling for flight nursing and medical crew personnel.
    • Communicate with clients and other stakeholders to gain support for the program and solicit input for improvements.
    • Oversee the collection and maintenance of patient records in accordance with confidentiality policies.
    • Create, implement, and evaluate the risk management plan in coordination with quality improvement, infection control, patient safety, and environment of care management.
    • Ensure the program operates within the approved budget, managing expenditures according to accounting policies.
    • Implement the policies, procedures, and practices of our client in consultation with the Medical Director and Chief Administrative Officer.
    • Conduct monthly staff meetings and participate in company meetings, committees, and projects related to air ambulance operations and patient care.
    • Maintain active flight duty as per the Flight Nurse or Flight Paramedic job description, as demand and backup coverage dictate.
    • Obtain pre-flight medical reports to assess appropriate crew configuration and patient altitude requirements.
    • Be responsible for the base-specific Emergency Action Handbook and Medical Crew Safety Manual.
    • Inventory medical equipment, ensure all equipment is in working order, track services performed, and monitor due dates for annual services.
    • Maintain medical supplies, oxygen bottles with accessories, and narcotic inventory.
    • Perform all other duties as assigned.
    Supervisor Responsibilities:
    • Manage a team of Flight Nurses, Respiratory Therapists, and Paramedics.
    • Lead future team expansions, including Mission Coordinators, Clinical Supervisors, and Administrative Assistants.
    Qualifications:
    • Education and Experience:
      • Bachelor’s degree in nursing with a valid Florida State Registered Nurse License.
      • Certification in Flight Nursing (CFRN or CTRN).
      • A minimum of 5 years of experience as a Flight Nurse, with 2-4 years in a leadership or management role.
      • Strong knowledge of air ambulance regulations, aviation safety, and medical transport standards.
      • Current and valid certifications in BLS, ACLS, PALS, NRP, and PHTLS.
      • Strong organizational, communication, and problem-solving skills.
      • Ability to thrive in a fast-paced, dynamic environment with a commitment to patient-centered care.
    • Skills:
      • Proficiency in Microsoft Office and strong personal computer skills, including email, database management, and report generation.
