    Job Description

    Concrete construction company looking for a full time Construction Administrative Assistant Job Duties and Responsibilities:

    1. FRONT DESK/ADMINISTRATIVE DUTIES: • Answer phones, distribute mail, greet customers • Shipping of FedEx/UPS documents • Filing (job management files, accounts payable files, closed job files, etc.) • Obtain and Maintain certificates of insurance for vendors, subcontractors and clients • Obtain and maintain yearly insurance renewal certificates for General Contractors and Vendors • Order and distribute office supplies • Update phone list, Current Job list and Christmas list as needed • Collect/Attach/Code/Enter receipts to American Express and Wrights Express statements
    2. ASSIST PROJECT MANAGEMENT/ESTIMATING: • Email proposals, purchase orders and signed contracts to General Contractors • Monthly A/R invoicing documents, lien waivers, vendor list, sales and use tax, etc. • Project files (including set-up new job files, filing, maintain closed-job files) • Register the North Carolina job into the NC Lien Data base
    3. ASSIST ACCOUNTING: • Scan A/P invoices to each project manager for coding • Call Vendors with discrepancies on invoices. • Monthly billing when requested (AIA documents and lien waivers) and email to customers • Review vendor statements • Attach packing slips to invoices • Other A/P and A/R functions (maintain W9’s) • Inventory (enter and update items in JOBPOWER; enter receipts/invoices from vendors) • Code/Enter A/P invoices in JOBPOWER Education/Experience: • High School or equivalent (Required) • 2+ years in Construction Billing (Preferred) • 1+ years Front Desk Receptionist • Accounting and Payroll experience a plus Background Profile: • The best person for this role must be highly organized and self-motivated. • Experience with MS Word and Excel. • Strong organizational skills and attention to detail. • Ability to multitask. • Strong written and verbal communication skills. • Construction knowledge background Required. • Works well with other team members within the company. • Reliable Personal transportation Benefits: • Health Insurance • Dental Insurance • Vision Insurance • Group Life Insurance • Term Life Insurance • Short Term Disability Insurance • Simple IRA (with match) • Paid time off • Paid Holidays Thank you for your interest in the position.
