    Job Description

    POSITION SUMMARY The Payroll Manager provides guidance and decision making to department personnel and ensures all activities necessary to process the company payroll are complete and accurate across all corporate holdings. Position evaluates and finds solutions to issues emanating from interfaces to the payroll process and serves as subject matter expert to field operations.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Monitor, review, and approve bi-weekly payroll processing across all corporate entities. Review, track, and resolve all payroll related issues to include garnishments, deductions, and discrepancies and ensure accuracy and timeliness of the payroll process.
    • Audit of time and attendance verifying accuracy of hours reported. Follow up with field operations and corporate management in validating payroll totals.
    • Provide scheduled and ad-hoc reports as requested to include payroll registers, taxes, garnishments, and benefits deductions. Implement reporting standardization and efficiencies as needed.
    • Support all internal and external audit procedures. Liaise with HR, Benefits, Finance, and Accounting to ensure compliance with all federal and state payroll processing requirements and data retention of payroll related records are within guidelines.
    • Lead all efforts to improve efficiencies in payroll processing to alleviate and/or eliminate late payroll submissions, retro-pay adjustments, and manual check requests.
    • Provide payroll training to operations and all end users of payroll systems. Develop standard user training / operating procedures and ensure staff is fully trained in systems administration and cross-trained across respective departmental duties.
    • Responsible for all payroll tax activities, including compliance with local, state, and federal regulations.  Produce and file all tax payments and reports, calculation and reporting of tax liabilities including amendments from prior quarters.
    • Respond to and work directly with tax agencies to investigate and resolve filing and deposit discrepancies, notices, and complete questionnaire requests and process employee inquiries related to tax questions.
    • Research laws and regulations regarding taxes and withholding procedures, and monitor and apply changes in payroll system per tax laws that affect the organizations liability.  Research and complete business registration processes in new jurisdictions.
    • Implement year-end reporting and processing to ensure the accuracy of W-2s and 941's.
    • Other duties as assigned by management.

    JOB REQUIREMENTS

    • BS degree in Accounting, Business, Finance, or related field. Combination of technical training and direct experience in lieu of educational requirements will be considered.
    • 5 – 7 years’ payroll experience in a multi-state operations environment with progressive increase in areas of responsibilities required. Minimum of 3 years in a supervisory/management position required. Ideal candidate will have knowledge/previous exposure in a restaurant industry environment.
    • 2 - 4 years experience with payroll tax filings and compliance issues.  Experience in processing payroll and tax activities in an in-house payroll environment preferred.
    • Intermediate to Advanced MS Office (Outlook, PowerPoint, Word) with Advanced Excel skills a must. Previous experience with Great Plains, Sage, or similar accounting software preferred.
    • Strong and in-depth understanding on the flow of payroll transactions in an integrated and automated payroll accounting system.
    • Thorough knowledge industry regulations and practices to include Sarbanes-Oxley,
    • GAAP, and SFAS guidelines a must.
    • Ability to maintain confidentiality and exercise extreme discretion.
    • Self-motivated with ability to prioritize and meet deadlines and work in a high energy, fast paced, ever changing environment.
    • Excellent written and oral communications skills, and a thorough knowledge of industry practices and regulations are required.
    • Experience in a high volume, multi-seasonal environment a must. Must be able to work over-time and/or off schedule hours during peak accounting periods (i.e. EOM/EOY);
    • Excellent communication and organizational skills with emphasis on customer service.
    • Strong problem-solving skills and ability to react quickly to resolve problems;
    • Self-motivated, positive attitude, high-energy individual who can multitask well;
    • Ability to work both independently and collaboratively with others toward mutual objectives and able to influence across non-direct reports on cross functional teams.
