JOB DESCRIPTION:
The Operations Specialist reports to the Director of Operations and will provide critical support to the Housing Acquisition and Tenant Coordination teams, assisting in administrative support. They will work closely with our external support firms, government agencies, nonprofits, landlords, and internal Anthos|Home team. We are looking for data enthusiasts, team-oriented and mission-driven individuals.
Key responsibilities include the ability to:
- Process housing voucher packages for a variety of housing voucher programs
- Review landlord and tenant forms (packages) as a final step in the quality assurance process
- Communicate with Tenant Coordination and Housing Acquisition teams on housing voucher package and move-in inquiries
- Operate at a fast pace with attention to detail for client move-in orders and requests
- Maintain up-to-date data, and confidential files on tenants, unit listings, and landlords, and assist in matching prospective households to apartments
- Serve as a subject matter expert on the application and matching process
- Expedite processes so voucher holders coming to Anthos|Home can be matched and moved into an apartment in under 30 days
- Respond to general inquiries
- Closely collaborate with our partners on ways to streamline and improve systems and processes
- Work with stakeholders to create dashboards and reports for project teams
- Maintain data integrity of Anthos|Home tracking systems
- Prepare ad hoc reports and assist with ad hoc projects as needed
- Work in partnership with the other Operations Associate, and assist them when necessary
- Other duties as assigned by the supervisor
- Provide excellent customer service and confidentiality
- Prepare and review lease and hold agreements according to NYC housing standards and regulations
- Coordinate with brokers and property owners to ensure timely submission of housing voucher forms

QUALIFICATIONS AND SKILLS:
Bachelor's degree preferred, and if not, candidate must have three years or more of experience working in administrative or operations support role.
Additional Skills include:
- Must have strong technical aptitude, with advanced proficiency in utilizing MS Word, Excel, and PowerPoint
- Experience with customer relationship management (CRM) systems a plus
- Excellent time management skills and the ability to work towards meeting multiple deadlines simultaneously
- Must be detail-oriented and an effective problem-solver
- Excellent communication, analytical, record-keeping, and organizational skills required
- An ability to work independently and in a collaborative setting
- Passion for the mission of the organization
- Ability to work in a diverse environment
- Experience managing lease agreements a plus

WORK ENVIRONMENT:
- Competitive Pay: $65,000- $70,000 salary range (dependent on experience)
- WFH/Hybrid work: 3 days required in the office each week
