HOK is currently seeking an Architectural Project Administrator to join our team in the Kansas City office. As a Project Administrator, you will provide administrative support to the Design Principal, Project Manager and Project Team on a large Sports project.
- Assists with tracking project progress, project documentation and other administrative tasks.
- Acts as a project liaison to external consultants and clients when project team members are unavailable or out of office.
- Supports the Construction Administration team in managing the project construction filing system. Acts as a steward of project protocols including file location, document format, standard guidelines and sharing best practices from other projects.
- Serves as a contact for transfer of files, documents, drawings with external consultants and clients; manages distribution of these to the team.
- Schedules, plans and coordinates project meetings as directed including attending meetings to record attendance and prepare minutes for distribution.
- Sends completed responses or revised drawings to contractor and/or client.
- Assists team with project tasks in various phases:
- Design/Document Phase: receive and coordinate consultant specs and other deliverables.
- CA Phase: RFI and Submittal Processing
- Project Closeout
- Drafts letters, prepares documents and proofreads client, vendor, or consultant documents.
- Oversees and coordinates client, vendor, or consultant marketing or event opportunities.
- Acts as a resource for the onboarding of new team members to the project team.
- Takes personal responsibility for fostering a green workplace through sustainable work practices.
Required Skills
- Proficiency in MS Office, including Word, Excel and Outlook.
- Proficiency in Trimble Connect and Smartsheet preferred.
- Detail-oriented and able to handle confidential information at the highest level.
- Knowledge of construction administration process and CSI divisions preferred.
- Excellent communicate skills including verbal and written and interpersonal skills.
- Ability to work in a team environment.
- Ability to effectively meet deadlines.
Required Experience
- Bachelor’s degree in business, construction administration, related field or equivalent preferred.
- Five years administrative or related experience preferred.
Other:
- Some travel may be required.
- Some overtime may be required.
