JOB SUMMARY
Support the company’s buying strategy while providing organization and enhancing supplier
relationships. The Buyer Assistant plays a key role in assisting the buying team with product
creation, purchase order preparation, supplier communication, design studio organization, and
more. Collaborates with team members to complete (maximize/optimize?) product flows and
processes. Having an extensive knowledge of the current Baltic Born product categories and
catalogue is essential.
KEY RESPONSIBILITIES
● GTIN Controller -
This role is responsible for creating, assigning and managing GTINs (Global Trade Item
Numbers) at a variant level in Shopify, Ship Hero, and the GTIN website.
● Prepare Barcode Shipments for Suppliers -
This role is responsible for all barcode communication with our suppliers. This includes, but is
not limited to: sending digital barcode requests, printing and shipping physical barcode
requests, follow up communication with tracking (if necessary), and ensuring suppliers receive
the correct size and quantity breakdown requested.
● Prepare Trim Shipments for Suppliers -
This role is responsible for all product trim orders. This includes, but is not limited to: preparing
physical shipments with requested trims, shipping trims to suppliers, overseeing communication
and delivery confirmation for China to China trims. (This includes all trims and polybags).
● Maintaining Baltic Born’s Style Closet -
This role is responsible for ensuring one small of every current Baltic Børn custom style is
hanging in our style closet. This includes accounting for all custom styles and colors, printing
new product signs, alphabetical organizing products, removing styles that are retiring, and more.
● Photo Shoot Preparation -
This role is responsible for working with the marketing team to steam all items for upcoming
product and campaign photoshoots.
● Go Backs -
This role is responsible for inspecting, folding, bagging and labeling go-backs from all
photoshoots.
● Provide Administrative Support to Buyers -
This role will help support the buying team, including maintaining calendars, meeting notes,
search organization, rack and hanger flow, and vendor correspondence.
● Sample Returns to Suppliers -
This role will assist in shipping samples back to suppliers when requested.
● Swatch Approvals
This role will assist in approving swatch approvals on fabrics for outstanding purchase orders.
● Assist in Creating Purchase Orders
This role will learn the functions of creating POs in Inventory Planner and assist the buyers in
drafting POs for new products.
In addition to the above tasks, this role will support the buying team in the selection of new
products based on trends, market research, sales data, and customer feedback. This role will
assist in managing product orders, tracking deliveries, and communicating with vendors to
ensure timely product availability.
QUALIFICATIONS
● Strong interest in women’s fashion with a keen eye for trends.
● Previous experience in retail buying, fashion merchandising, or e-commerce is a plus.
● Excellent organizational and time-management skills with the ability to manage multiple
tasks simultaneously.
● Strong communication skills, both written and verbal.
● Proficiency in Google Suite (Sheets, Doc, PowerPoint); experience with e-commerce
platforms or buying software is a plus.
● Detail-oriented, proactive, and able to work in a fast-paced, deadline-driven
environment.
● A team player with a positive attitude and strong problem-solving skills.
● Ability to identify priorities and adjust accordingly.
