    Title: Assistant Principal of Operations
    Reports to: Principal
    Team: School-Based Operations
    Type: Full-Time; Salaried; Year-Round

    POSITION OVERVIEW
    The Assistant Principal of Operations (“APO”) provides excellent operational support to one specific KIPP Jacksonville school to help realize their mission by providing high-quality and personalized service to students, staff, and families at their school. The APO provides the daily support needed to make operations run smoothly at their school. The APO position leads the strategic vision of operations at the school level. The APO position provides support for a variety of stakeholders and problem-solves operational issues.

    This role is ideal for someone with previous K-12 leadership experience and can articulate commitments to educational equity and operational excellence that mirror the region’s vision and goals.

    Success in this role is measured by (1) day-to-day operations effectiveness (2) family satisfaction metrics (3) hitting student enrollment metrics (4) school operations staff retention.

    The APO typically manages all other school-based operations team members and performs other duties as assigned by the Principal. The APO reports directly to the Principal but has a dotted line to the Sr. Director of Operations at the Regional level. The Sr. Director of Operations provides regional support, coaching, and regional context/metrics for the APOs across the region and the Principal manages them/evaluates them.

    The APO is part of the school-based operations team and is a year-round employee. Typical hours for school-based leaders are aligned to that school Monday through Friday and there may be occasional meetings, special school events, or commitments that fall outside of these hours. ****

    SPECIFIC DUTIES

    Student Recruitment and Enrollment:
    APO is responsible for ensuring that their school is fully enrolled throughout the year.

    • School-based student enrollment and re-registration, including messaging, parent communications, and special events

    • Ongoing onboarding of new families and students

    • Manages a school operations team to ensure compliance requirements related to enrollment are met, including maintaining a cumulative folder for each student, requesting records from new student’s previous schools, ensuring they are enrolled in the SIS and other systems, etc.

    • Partnering with the Director of Student Recruitment and Enrollment to present school information to potential new families or community groups

    On and Off Campus Events:
    APO is responsible for scheduling, coordinating the logistics of, and executing all on and off campus events.

    • Field trips

    • School-based family and community events

    • Staff outings/team builders

    • Ensuring safety of students at all times by coordinating adult supervision and security

    • Partner with Athletic Director and School Leader to coordinate student clubs, sporting events, and other special events

    Vendor/Regional Team Relationships:
    APO is responsible for maintaining vendor or regional team relationships and advocating for the needs of their school with these vendors.

    • Finance:
    * Manages monthly budget to actual of school’s discretionary spending
    
    * Meets regularly with Director of Finance to discuss major upcoming projects, grant requests, and strategic spending initiatives 
    
    • Custodial/Facilities:

      • Work directly with Facilities Tech to address custodial or facilities needs

      • Walkthroughs/Surveys of school facilities to proactively identify issues

      • On-campus events (set-up/supplies, HVAC/trash set-up)

    • Transportation:

    * Work directly with Transportation Manager to address any bus needs
    
    * Coordinate logistics of arrival and dismissal (i.e. student safety, staff duty spots, etc.)
    
    * Field Trips scheduling
    
    * Assist with daily arrival/dismissal as needed (arrival, dismissal, late buses)
    
    • IT:
    * Work directly with IT vendor to ensure all IT needs are met
    
    * Help teachers create systems in classrooms to minimize IT repairs
    
    • Human Resources:
    * Work directly with HR Director to ensure HR needs are met
    
    * Onboarding new staff to school procedures
    
    * Answering questions regarding the handbook from a school lens
    
    * Managing school staff paid time off (PTO)
    
    • Talent:
    * Onboards instructional staff to the day-to-day operations of the school 
    
    * Manages school ops-based team including the hiring, onboarding, and coaching of the School Operations Coordinator, Social Worker, LPN and Front Office Coordinator 
    
    • Meals:

      • Daily upkeep (observations, issues)

      • Build/maintain vendor relationship

      • Field trips/special meals (i.e. Literacy night & other on campus events)

    Purchasing:
    APO is responsible for purchasing procedures and budgeting in partnership with the Principal. All purchasing is done in partnership with regional support and guidance.

    • Product research including price matching

    • Vendor activities – Sending POs, setting up accounts, tracking order/delivery status, fixing errors

    • Efficient storage process design and execution

    • Manage the School Operations Coordinator to ensure delivery of products to staff and regular restocking

    • Credit card receipt/reconciliation

    • Tracking and reporting discretionary spend to school leaders

    Day-to-Day Operations:
    APO is responsible for ensuring that day-to-day operations at their school run smoothly.

    • Work with Front Office Coordinators to establish logistical and safety procedures that best fit the needs of the school

    • Assist with strategic planning of attendance procedures, record keeping, and auditing

    • Manage substitute pool and ensure all classrooms have necessary coverage if a teacher is absent

    • Oversee student attendance procedures and interventions and partner with stakeholders to meet metrics

    • Presenting whole group to the school staff about various procedures and policies

    • Ensure policies are in place and followed to maximize student and staff safety

    • Lead a full school-operations team including a School Operations Coordinator, a Social Worker substitutes, a Front Office Coordinator, and a school nurse to accomplish critical operational tasks for the school

    • Provide professional development, weekly check-in’s, and general onboarding for any members of the school operations team

    Campus Safety:

    APO is responsible for the general safety of teachers, students, and staff at their school.

    • Schedules monthly drills (lockdown, fire) as well as quarterly drills (secure campus) to ensure compliance with state and district regulations

    • Facilitates school-based Behavior Threat Assessment Team (BTAT) meetings on a monthly basis

    • The logistical lead of safety for their school

    Student Attendance:

    APO is responsible for the daily attendance of students to ensure academic success.

    • Attends monthly regional meetings on attendance interventions

    • Co-leads school-based attendance strategy with school counselor

    • Ensures daily attendance is taken by teachers

    Parent Communication:
    APO is responsible for timely, professional, and informative communication with families.

    • Oversee parent communication, including robocalls, letters sent home, etc.

    • Communications include: upcoming on or off-campus events, grades, etc.

    • Organize and distribute student weekly folders

    • Address any logistical parent concerns

    • Review and act on relevant and regular parent feedback through Possip in partnership with the school administration team

    Other:

    • Testing Assistance: help with schedules, hallway duty, proctoring (if certified teacher)

    • Other projects as assigned by the Principal

    • The starting salary for this position is $62,000.

    • Bachelor's Degree

    • Minimum of three years of professional experience

    • Ability to multi-task with competing priorities in a fast-paced environment

    • High level of customer service to all stakeholders, both internal and external

    • MS Office basic skills to include Outlook email and calendar, Excel, PowerPoint, and Word

    • High level of comfort with sitting at the front desk using office equipment, computers, entering data, answering phones, and greeting visitors for an extended period of time.

    • Comfortable with walking up and down stairs and through school hallways as needed or delivering items to classrooms as needed

    HIGHLY PREFERRED

    • Master’s Degree

    • Previous experience with school-based operations

    • Previous experience in a school setting

    • Experience managing a team with at least 3 direct reports
