At Coastline Equity, Assistant Property Managers play a pivotal role in delivering exceptional service by proactively managing daily operations and addressing tenant, vendor, and client needs. This role requires a problem-solver with a growth mindset, who thrives on turning challenges into opportunities and excels at managing never-ending to-do lists with focus and prioritization. You will partner closely with Senior Property Managers to ensure properties are compliant, well-maintained, and efficiently operated, ultimately contributing to tenant satisfaction and property performance.
Key Responsibilities & Functions
Customer Service & Communication
Maintain a customer-first attitude in all interactions.
Address tenant needs, ensure clear communication, and provide excellent service.
Respond to emergency calls and manage after-hours on-call duties.
Property & Maintenance Management
Collaborate with Property Managers to ensure timely property management.
Bid for repairs and maintenance, manage work orders, and schedule follow-ups.
Conduct move-in/move-out inspections and ensure property safety.
Tenant & Rent Management
Follow up on rent collections and handle delinquency calls.
Enforce rental agreement terms and manage related proceedings.
Recordkeeping & Documentation
Maintain accurate property files in AppFolio, including tenant and vendor communications.
Submit timely paperwork, invoices, and keep an organized key tracking system.
Technology & Efficiency Improvement
Use property management software for task management and productivity.
Continuously improve workflows to enhance efficiency and exceed expectations.
Collaboration & Compliance
Foster collaborative relationships with teams and departments.
Ensure compliance with safety regulations and maintain organized workspaces.
Requirements
Previous experience in customer service, trades, or construction is a plus.
Trainable and eager to grow with the company.
Prioritization: Ability to manage a never-ending to-do list and tackle the most urgent tasks first.
Adaptability: Comfortable working in ambiguous situations, anticipating problems, and seeing them as opportunities for improvement.
Tech-Savvy: Comfortable using technology, including property management software, to streamline tasks.
