GENERAL DESCRIPTION:
Coordinates all aspects of audits and inspections between clients and auditors and, as time is available and as directed, assists other management level personnel.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Coordinate and arrange Inspections and Audits between auditor and company as per Scheduling Inspection/Audit procedures.
• Monitor all correspondence and ensure timely reply to requests and or questions regarding the scheduling of vessel inspection and audits.
• Prepare and distribute checklists and forms relating to Inspections and Audits.
• Review and approve inspector and auditor invoices.
• Assist in preparing invoices.
• Send weekly and monthly information emails to inspectors/auditors in accordance with procedures.
• Prepare and send certificates (e.g. ISSC and SMC) for Auditors before an Audit.
• Send last inspection/audit report to inspector who is scheduled to conduct the inspection or audit.
• Maintain computer records using relevant software to create and maintain databases and spread sheets regarding Inspections and Audits.
• Notify DPA and/or CSOs and clients when inspections are due or overdue in accordance with “Scheduling inspection/Audit” procedures.
• Print and prepare audit reports.
• Establish and maintain inspector records in accordance with relevant procedures.
• Update website with auditor information
• Miscellaneous duties and projects as requested by supervisor and executive level staff.
GENERAL QUALIFICATION GUIDELINES:
Experience, Education and Certification
• Some college education required. College degree preferred.
• Minimum one year of Administration experience. Additional formal secretarial and clerical training preferred
• Maritime experience preferred
Knowledge, Skills and Abilities
• Proficient knowledge of Microsoft Office application and use of general office equipment
• Ability to organize and prioritize work and meet deadlines
• Well developed interpersonal and communication skills
• Ability to work in a team environment
• Speak and understand English
• Strong skills in English grammar and composition
