    VOTA is a title and escrow company focusing on the life cycle of a timeshare property. Our title insurance experience combined with our tenure servicing the vacation ownership space enables us to provide a suite of services for new developers and established vacation brands. We offer expertise across the country in new club sales setup, inventory tracking, foreclosure processing, and termination projects.

    Principal Objective of Position:

    This position is responsible for supporting the Director of Assurance in all needs of the assurance department to ensure that activities are carried out in compliance to the company standards of ALTA Best Practices, Licensing, Insurance and other state regulations. Acts as a liaison with the company between the assurance department and operations support staff members.

    Internal areas to support include but are not limited to:

    • Assurance Department

    • Escrow Accounting

    • Transfer and Resale

    • Foreclosure

    • Developer Closings

    • Title

    Responsibilities:

    Compliance System Administration

    • To support the administration of the CSC (Corporate Service Company) with the processing of the annual reports for the VOTA entities.

    Conducting Audits

    • Assists with conducting scheduled audits to address internal related compliance issues, i.e., completion of the monthly requirements for the Texas Department of Insurance, etc.

    • Assist with following up and measurement of audit and report corrective measures.

    Escrow Trust Accounting

    • Supports the management team with reviewing and completing the due diligence requirements, i.e., questionnaires, gathering of supporting compliance procedures, etc. for underwriter and state audits.

    Insurance Coverage

    • Collaborates directly with the Director of Assurance to sustain ALL company required insurances, i.e., cyber, crime, general commercial liability, etc.

    Licensing

    • Assists with monitoring ALL business licenses to include but not limited to, individual title agent licenses, company title agent licenses, business occupational licenses, bonds, etc.

    Operational Support

    • Provides support to the Director of Assurance to collaborate with the operations management team to answer questions and address issues.

    New Entity Filings

    • Provides support by working with individual Secretary of State offices to register or update entity filings, i.e., new entity filing in the state of North Carolina, etc.

    Procedures

    • Help gather all divisional Standard Operating Procedures to organize for future reference/training/audits, i.e. gathering all specific state Foreclosure procedures and conducting an audit on a specific state file to confirm the proper steps were followed.

    • Ensuring that policies and procedures are developed and maintained to meet company relevant and regulatory assurance requirements, i.e. the following of the need for an attorney certificate of title before issuing a policy.

    • To accurately complete all necessary documentation in a timely manner.

    • Assist with sustaining the manuals, i.e., Licensing, Bonds, Texas Information, Attorney Information, etc.

    Protecting Non-Public Personal Information

    • Maintains current procedures and collaborates with department managers to sustain specific information, i.e., Master bank account spreadsheets, etc.

    Reporting

    • Immediately report any incident which the management team needs to address using the appropriate reporting system.

    • Gathers data and complies various reports for management and assurance department.

    State Regulation Research

    • Assists with researching state regulations to ensure operations are adhering to the current state statutes.

    Special Projects

    • Completes special projects as assigned by the Director of Assurance.

    Training and Communication

    • Trouble-shoot problems and implement and communicate corrective and/or preventative action.

    • Distribute information to management and employees as required. Assist with scheduling training sessions to review processes and to gain signed confirmation/certifications of training completion.

    Licensing and Certification:

    • No specific license is required.

    Travel Requirements:

    • Not required, however, may be deemed necessary to address a company issue.

    Required Skills/Abilities:

    • 3-5 years proven experience with overseeing company licensing and insurance processes.

    • Proven Title Agency Experience is a plus.

    • Proven Timeshare Experience required.

    • Proven Title and Escrow Experience a plus.

    • Auditing experience and setting of audit schedules, completion of internal audits.

    • Superior verbal and written communication and interpersonal skills.

    • Strong presentation skills including senior management.

    • Prior project management experience a plus.

    • Prior training experience a plus.

    • High proficient in Microsoft Office Suite or related software.

    • Excellent organizational skills and attention to detail.

    • Excellent analytical, decision-making, and problem-solving skills.
