    JOB DESCRIPTION - ADMINISTRATIVE ASSISTANT

    BTM Machinery is looking for a responsible Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to all aspects of the BTM Rental Division (for both locations), direct support to the President, Accounting Manager, Shop Manager and other employees, assisting in daily office needs and managing some of our company’s other general administrative activities. The Administrative Assistant’s responsibilities include preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using software tools like Microsoft Excel and Word, Google applications and accounting software like Quickbooks. If you have previous experience as a Secretary, Administrative Assistant or executive administrative assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.

    RESPONSIBILITIES

    MANAGE BTM’S HEAVY EQUIPMENT RENTAL DIVISION. CURRENTLY, THERE IS ONE LOCATION FOR RENTAL IN DADE CITY, FLORIDA. WHEN THE NEW DEALERSHIP OPENS IN SUMMERVILLE, THERE WILL BE AN EXPANSION OF RENTAL TO THE TRI-COUNTY AREA. THESE DUTIES INCLUDE

    • Creating rental contracts and monitoring contract signatures using Docusign to ensure adequate insurance coverage
    • Monthly Invoicing for rental contracts,
    • Filing of Notice-To-Owner Notifications in Florida thur NACM FLORIDA to expediate lien filing in case of customer non-payment.
    • Primary point of contact with all rental customers and rental staff,
    • Reporting directly to BTM President regarding financial and inventory status
    • Creating, maintaining, and printing financial and inventory reports.
    • Collection of past due receivables
    • Maintenance and monitoring of GPS location tracker database for rental equipment using LINXUP cloud service.

    MAINTENANCE OF BTM COMPANY DATABASES FOR INVENTORY, ON-LINE ADVERTISING AND WEBSITE USING CHARTER ASPEN (EQUIPMENT DEALERSHIP / ACCOUNTING SOFTWARE ), MACHINERY TRADER AND IMAN DATAPRO TECHNOLOGIES AND YOUTUBE FOR VIDEOS.

    • Responsible for synchronization of inventory, online sale listings and website listings.
    • Sending pictures and sales information to potential customers

    ADDITIONAL DUTIES INCLUDE:

    • Greeting and supporting customers at the front desk of the new dealership
    • Answer and direct phone calls
    • Assist in the preparation of regularly scheduled reports
    • Develop and maintain a filing system

    TECHNICAL SKILLS

    Familiarity with the following software is preferred:

    • Accounting Software: Charter Aspen (in use now) or Quickbooks
    • Business applications: MS Office including Excel, Word and Outlook, Adobe PDF reader and editor
    • Hardware: PC
    • Operating Systems: Windows
    • Graphics: Adobe Illustrator and Photoshop considered a plus
    • Email systems: Outlook and gmail
    • Google applications: Google Docs, Sheets, Drive and Gmail
    • Electronic signature: Docusign
    • Social Media: Youtube ( for purpose of uploading videos to BTM website)

    Additional Technical Skills

    • · Basic Accounting knowledge required.
    • · Proven experience as an administrative assistant or office admin assistant
    • · Knowledge of office management systems and procedures
    • · Working knowledge of office equipment, like printers and scanners
    • · Excellent time management skills and the ability to prioritize work
    • · Attention to detail and problem-solving skills
    • · Excellent written and verbal communication skills
    • · Strong organizational skills with the ability to multi-task

    JOB TYPE Full-time

    SALARY: $35,000.00 - $50,000.00 per year

    SCHEDULE: 8 HOUR SHIFT MONDAY TO FRIDAY

    EDUCATION: BACHELOR'S (REQUIRED)

    EXPERIENCE: CUSTOMER SERVICE: 3 YEAR (PREFERRED), ADMINISTRATIVE ASSISTANT: 5 YEARS (PREFERRED)

    WORK LOCATION: Candidate will be required to begin employment at current corporate headquarters in Mount Pleasant. After the dealership opens in late spring or early summer they will work in Summerville.

BTM is scheduled to open a new corporate headquarters in Summerville, SC in late spring or early summer of this year. This facility (currently under construction) will allow BTM to now consolidate its already dominate position at this regional sales hub in the heart of the developing Charleston Distribution Center near the Nexton exit off I-26. This state-of-the art facility will expand BTM’s capabilities by providing a local retail outlet to offer its customers a comprehensive range of services including sales, rentals and equipment repair. BTM was founded by Blake Thornton, a Pawley’s Island native and 1999 College of Charleston graduate, who started BTM Machinery in 2001.
