As Recruiting Coordinator, you will learn the ropes of Balsam recruiting by overseeing the administrative and support aspects of interview scheduling and coordination to deliver best-in-class candidate experience initiatives. You will learn from and work within our dynamic Recruiting Team to understand and execute the nuts and bolts of Balsam’s recruiting processes. In this role, you’ll get the opportunity to collaborate with hiring teams and interviewers to deliver a candidate experience that reflects our unique workplace.

Our ideal candidate is extremely detail oriented, proactive, and organized. Communication skills, both written and verbal, are paramount. S/he functions well in a fast-paced environment, can manage multiple priorities, and has an eye for process improvement.

The Recruiting Coordinator will report to the Sr. Recruiting Manager.

WHAT YOU’LL DO :

• Serve as the primary interview scheduling contact: handle complex recruitment and scheduling processes with interview teams (over phone, Zoom, in-person), distribute candidate information to interview teams, and troubleshoot scheduling conflicts as they arise
• Coordinate candidate travel logistics and manage expenses
• Serve as liaison for candidates to ensure a friendly and welcoming experience
• Establish strong working partnerships with internal hiring teams and recruiting team members
• Track and file candidate feedback forms, while maintaining candidate confidentiality
• Work with a global team of individuals who are passionate and energized about building the Balsam team
• Track incoming candidate referrals and update internal documents accurately
• Assist other internal teams with special projects or tasks on occasion
• Assist with screening new candidate applications as needed

  • You can work efficiently with minimal guidance, ask great questions, and escalate concerns appropriately and promptly
• Prior experience as an Administrative or Recruiting Assistant, or comparable scheduling experience, is desired
• A knack for, and/or desire to learn, coordinating interview schedules to ensure a smooth candidate experience
• Excellent communication (verbal, written) and interpersonal skills (high EQ!)
• Desire to interface with all levels of the team and range of external partners
• Can-do and positive attitude: you are welcoming, considerate, resourceful, tech-savvy, and a quick learner
• Experience with MS Office Suite including Word, Excel, Outlook
