    Job description

    Responsibilities:

    Greet and welcome visitors in a professional and friendly matter

    Answer and direct phone calls to the appropriate individuals

    Provide general administrative and clerical support, including data entry, filing, and photocopying

    Process incoming and outgoing mail, packages, and deliveries.

    Manage office supplies and maintain inventory

    Assist with order entry and processing

    Coordinate projects and tasks as assigned

    Provide customer support and address inquiries or concerns

    Assist with operations, sales, hr, and finance team as needed

    Experience:

    Bilingual Spanish proficiency is preferred

    Proficiency in various office software and tools, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), document management systems, project management software, and possibly industry-specific software.

    Familiarity with QuickBooks desktop is a plus

    Strong organizational skills with the ability to prioritize tasks effectively

    Excellent verbal and written communication skills

    Attention to detail and accuracy in data entry and proofreading

    Travel Coordination: Experience in booking travel arrangements, including flights, accommodations, transportation, and itineraries, often for multiple travelers.

    A strong understanding of the need for confidentiality, especially when dealing with sensitive information and executive communications.

    Exceptionally organized and can efficiently manage calendars, schedules, and tasks for multiple individuals or teams.

    Managing projects, including planning, coordinating, and tracking progress. They may have handled complex projects, such as office moves or events.

    Problem solving: Adept at identifying issues, proposing solutions, and making decisions independently when needed.
