The Bilingual Marketing Assistant will provide comprehensive support to the Marketing Director, ensuring the smooth execution of marketing and business development activities. This role requires excellent organizational skills, a proactive attitude, and the ability to work collaboratively in a fast-paced environment. This is a hybrid role and requires this person to be in our Mission Valley office on Tuesday, Wednesday and Thursday. Responsibilities: Market Research and Lead Generation: • Research and identify new networking opportunities within the personal injury, legal, and medical industries. • Regularly analyze and report on new opportunities, providing strategic recommendations for outreach. • Assist in coordinating cross-referrals between clients and professionals, such as chiropractors, tow truck services, and more. Gift Delivery and Re-stock: • Deliver gifts (e.g., doughnuts or other items as ordered by the Marketing Director) to referral partners. This role requires a professional dress code when interacting with clients. • Ensure timely and professional interactions during deliveries. • Re-stock promotional materials at local businesses such as business cards, flyers, and other promotional materials. • Assist in coordinating cost-efficient transportation solutions for the Marketing Director during their stay. Virtual Meeting Coordination: • Schedule and coordinate virtual meetings between the Marketing Director and key referral partners, ensuring seamless communication and follow-up. • Prepare detailed briefing materials for the Marketing Director ahead of each meeting, including background information on contacts and strategic talking points. • Manage the Marketing Director’s virtual networking calendar, ensuring meetings are efficiently organized and prioritized. Lead Follow-Up and Tracking: • Follow up on leads generated through meetings, events, and research to ensure consistent engagement and conversion. • Maintain accurate, up-to-date records of all leads, communications, and referral activities in the CRM system. • Provide the Marketing Director with regular updates on lead status, referral outcomes, and opportunities for further engagement. Event Representation: • Attend local events, either with or on behalf of the Marketing Director, to represent the business and facilitate introductions to potential referral partners. • Setting up events, including organizing materials, coordinating with vendors, and ensuring all logistical details are managed. • May be required to lift up to 50 lbs when transporting promotional materials, event setups, or gifts. Administrative and Logistical Support: • Track and organize business-related expenses, including travel, event participation, and promotional activities. • Work with the Marketing Director to prepare and submit detailed reports on networking outcomes, market insights, and lead conversions. • Assist in coordinating logistics for the Marketing Director’s occasional travel to California, focusing on cost efficiency. Qualifications: • Strong organizational and time-management skills. • Bilingual proficiency in English and Spanish is preferred. • Excellent verbal and written communication abilities. • Proficient in Microsoft Office Suite and basic database management tools. • Professional demeanor with a focus on customer service. • Valid driver’s license and access to reliable transportation.
