    POSITION SUMMARY

    The Billing Administrator is responsible for ensuring accurate and timely billing and invoicing, monitoring customer accounts and handling customer inquiries and resolving billing discrepancies. May also engage in collections activities. Set up new customer accounts and maintenance agreements, as well as, process maintenance renewals, cancellations and terminations.


    What you’ll do:

    • Generate and process service invoices accurately and in a timely manner.
    • Ensure all charges associated with labor, materials, and services are correct and match the work completed.
    • Review completed service orders to verify that all work performed is documented and billed appropriately.
    • Work closely with the service department to capture all applicable costs, including parts, labor, and applicable fees to ensure comprehensive billing.
    • Coordinate with the purchasing team to ensure material costs are accurately recorded for billing purposes.
    • Ensure that all billing aligns with customer contracts, agreements, and applicable service terms.
    • Distributes all service invoices to customers on a timely basis.
    • Respond to customer billing inquiries, addressing any concerns or discrepancies. Resolves or escalates as appropriate.
    • Assist in tracking and managing customer payments and account status.
    • Collaborate with the collections team to address past-due accounts and resolve billing issues promptly.
    • Review and process new maintenance agreements for customers, ensuring all details are accurately entered into the system.
    • Verify and confirm the accuracy of contract terms, pricing, and coverage as per customer requests and company standards.
    • Ensure all maintenance agreements and associated documentation are properly recorded and filed.
    • Identifies and coordinates open and upcoming work with team supervisors, including agreement subcontract needs.
    • Monitors schedule and reports as appropriate. Sends out consolidated maintenance reports on monthly completed work on a timely basis.
    • Generate invoices for maintenance agreements and ensure billing is completed accurately and on time.
    • Work closely with the service and sales teams to ensure accurate service and billing information for maintenance agreements.
    • Prepare regular reports on the status of maintenance agreements, including active contracts, renewals, and cancellations.
    • Prepare renewal notices and documentation for customers in advance of agreement expiration.
    • Process any changes or modifications to maintenance agreements based on customer requests.
    • Monitors work performed against contract terms, communicates with customers to ensure work performed meets expectations, escalates to supervisor as needed.
    • Performs additional tasks in support of the service administration team as needed.

    What you’ll need to be successful:

    • Enters service contracts into system. Ensures each customer’s account information is correctly updated and entered.
    • Schedules and documents tasks for assigned service contracts. Follows up on recommendations and ticket completion, coordinates any purchased materials or sub contracts as required.
    • Identifies and coordinates open and upcoming work with team supervisors. Monitors schedule and reports as appropriate. Sends out reports on completed work on a timely basis.
    • Monitors work performed against contract terms, communicates with customers to ensure work performed meets expectations, escalates to supervisor as needed.
    • Ensures that records and systems are updated, and contract agreements are filed properly.
    • Prepares and distributes invoices to customers on a timely basis. Monitors customer accounts for payment and assist with collection of payment as needed.
    • Responds to customer inquiries or concerns. Resolves or escalates as appropriate.
    • Supports contract renewal process. Communicates upcoming renewals and document renewals.
    • Performs additional tasks in support of the service administration team as needed.

    What you bring to the table:

    • High School diploma or equivalent
    • Two (2) years of billing or directly related experience
