    Job Summary

    We are a Commercial Real Estate Firm seeking a Receptionist to join our team.

    Please only apply if you have had Receptionist & Administrative Assistant experience.

    This position is for reception and administrative work at the front desk of our executive office center located in Bixby Knolls district in Long Beach.

    This position is Part Time and currently the schedule is for 27 hours a week. This office is open between the hours of 8:00am-5:00pm Monday through Friday. A set schedule will be decided with management prior to hiring. Additionally, there might be other days during the week you are requested to work.

    In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, helping tenants, writing correspondence and any other administrative duties that come up. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.

    Responsibilities

    Answer incoming phone calls and route them to the appropriate person

    Schedule appointments and maintain a calendar

    Interactive and help tenants with questions and payments

    Write emails, memos, and letters and distribute them appropriately

    Contribute to company reports

    Maintain an organized filing system

    Develop, update, and maintain relevant office procedures

    Qualifications

    High school diploma/GED required, Associate’s degree or administrative training is preferred

    Previous experience as an Administrative Assistant or in a similar position

    Familiarity with standard office equipment such as printers and fax machines

    Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint

    Highly organized with excellent time management skills and the ability to prioritize projects
