JOB DESCRIPTION
Jenkins Group is seeking a meticulous and enthusiastic Book Awards Entry and Judging Specialist to support the success of our renowned book awards programs. This role involves managing entry submissions for print, ebook, and audiobook formats, communicating with publishers and authors, coordinating the judging process across six distinct awards, and assisting with winner celebrations and recognition.

RESPONSIBILITIES
- Manage Book Award Submissions:
- Oversee and coordinate the submission of entries for various award categories (print, ebook, audiobook, etc.).
- Ensure timely and accurate processing of all submissions, tracking entry statuses and resolving any discrepancies.
- Maintain and update an entry database to ensure efficient access to all submissions.
- Publisher Communication:
* Serve as the main point of contact for publishers and authors with questions about the submission process.
* Address queries regarding entry requirements, deadlines, formats, and eligibility criteria.
* Provide guidance on submission troubleshooting and resolve any technical or logistical issues related to entries.
- Book Judging:
* Participate in the judging process for six different book award contests, evaluating submitted books based on predetermined criteria.
* Assist with organizing and coordinating the judging panels, ensuring all books are reviewed in a timely and fair manner.
* Maintain confidentiality and impartiality throughout the judging process.
* Assist with tracking of winner data
- Winner Celebrations and Communication:
* Support the planning and execution of winner celebrations, including virtual or in-person events.
* Support the drafting of notifications to award winners, ensuring they are informed of their recognition and next steps.
* Collaborate with other team members to ensure smooth event logistics.
- Winner Packets and Merchandise Fulfillment:
* Create and mail winner packets, which may include certificates, medals, or other award-related materials.
* Manage the fulfillment of winner merchandise orders, ensuring timely and accurate delivery of award-related products.
- Other Administrative Support:
* Provide general administrative assistance as needed to support the overall awards program.
* Assist with creating promotional materials related to award winners, including press releases, social media posts, and website updates.
REQUIREMENTS
- Prior experience in event coordination, book publishing, or award programs is preferred
- Familiarity with print, eBook, and audiobook formats is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with digital platforms (e.g., Google Drive, project management tools)
- Knowledge of online submission platforms and ebook/audiobook formats is a plus
- Proficiency with Canva is a plus

ADDITIONAL INFORMATION
- Part-time/Seasonal Nature: This position requires flexibility during peak award submission and judging periods, with hours fluctuating based on workload.
- In-Office Work: This is primarily an in-office position.
