  • Responsibilities

    Candidates for this position must be proficient in the QuickBooks desktop and online versions. Extensive QuickBooks knowledge is a requirement for the position. This position requires the ability to do both Administrative tasks and Bookkeeping tasks as outlined in the job description. Candidates must have both Administrative Assistant and Bookkeeping experience. This M-F 25 hour per week position comes with generous paid time off, and is located in a bright, clean, office space in the office headquarters of a small agency which operates 3 homeless shelters for women and children. JOB DESCRIPTION: ADMINISTRATIVE ASSISTANT/BOOKKEEPER QUALIFICATIONS:

    · Proficiency in Quick Books accounting program is required.

    · Computer proficient all microsoft programs especially excel

    · Ability to multi-task

    · Good interpersonal skills, ability to communicate with others in a positive manner

    · Valid driver’s license

    · Capable of lifting/carrying packages up to 20 lbs (ie: deliveries, donations)

    RESPONSIBILITIES:

    · Perform all clerical/secretarial duties such as answering phone, taking messages, answering the door, responding to donations and visitors, filing, and other duties as assigned such as cleaning and organizing.

    · Respond to phone calls and visitors with attentiveness and compassion, taking and giving information and referral assistance with informed response.

    · Prepare general ledgers, general journal entries, and record all debits, deposits in classes set up in QuickBooks.

    · Prepare reports for the accountants we work with on county contract budgets and end of year closing.

    · Payment of all accounts payable.

    · Intake donations and store for shelter use

    · Intake deliveries of supplies

    · Order office and other supplies

    · Preparation of monthly vouchers for all grants, county contracts, and accounts receivable.

    · Prepare bank deposits/transfers/reconciliations for Executive Directors approval.

    · Prepare all mailings assisting office volunteers with their preparation.

    · Assist in preparation of County reports, budgets.

    · Provide data for preparation of annual agency budget and grant applications.

    · Complete required paperwork for employee medical and dental insurance, and any workman’s comp, COBRA or disability.

    · Maintain confidentiality in all office discussions

    · Other duties as assigned.

    Reports directly to the Executive Director and Associate Director.
