    Essential Functions:

    To accomplish this job successfully, an individual must be able to perform each essential function satisfactorily.

    • Bookkeeping:

    – Scanning invoices to the shared file.

    – Enter invoices and allocate entries accurately in QuickBooks

    – Review payment batches, make change for large bills, and distribute cash boxes from the front desk.

    – Scanning invoices in shared file and attaching them to the entries in QuickBooks.

    – Processing accounts payable and accounts receivable in QuickBooks.

    – Pay invoices in a timely manner.

    – Prepare the AMEX bill for the Practice Administrator and physician to review.

    – Make daily check deposits.

    – Creates and tracks invoices.

    – Provides daily deposits to the billing team.

    – Enrolls and terminates insurance coverage for employees.

    – Assists with payroll entry corrections.

    – Assists with creating and maintaining spreadsheets.

    – Other bookkeeping duties as assigned.

    • Administrative Assistant:

    – Opening and sorting daily mail.

    – Filling and retrieving company records, documents, and reports.

    – Help prepares for department meetings.

    – Accurately recording minutes from meetings.

    – Manage office supplies inventory by monitoring the items in stock, anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies once the Practice Administrator approves the requests.

    – Write letters and emails on behalf of the administrator and physicians.

    – Cover the front desk when needed.

    – Provide administrative support to the Practice Administrator and Physicians.

    – Reading and analyzing incoming memos, submissions, and distributing them as needed.

    – Making travel arrangements for the administrator and physicians as needed.

    – Other administrative duties as assigned.

    – Provide positive and courteous customer service at both the Front Desk and over the phone for the busy Ear, Nose & Throat office while always maintaining a professional presence.

    – May be required to perform other job related miscellaneous clerical duties.
