Location: Lindenhurst, NY Employment Type: Part-time (25–30 hours per week)
Who We’re Looking For:
Efferent Media is looking for a highly organized, proactive, and detail-oriented Bookkeeper and Office Manager to oversee the day-to-day operations of our office and support our team. This role is at the heart of keeping our business running smoothly and ensuring that both our clients and team members have an exceptional experience. QuickBooks experience is required for this position.
This is an in-person role at our Lindenhurst, NY office. Fully remote work is not available for this position.
What You’ll Be Doing:
Office Operations:
Ensure the office is fully stocked with supplies, snacks, and beverages, and maintain a clean, organized environment.
Manage incoming and outgoing deliveries, inventory, and vendor relationships.
Answer and route office calls while providing general support for visitors, clients, and vendors.
Keep insurance, building permits, employee benefits, and tax filings up to date and organized.
Plan fun and engaging team-building activities and events, such as weekly lunches or celebrations.
Administrative Support:
Provide support to various departments, assisting with schedules, correspondence, and office logistics.
Assist HR with onboarding new hires and maintaining current employee/vendor records.
Manage monthly expense reports, process payroll, and handle accounts payable.
Order, set up, and manage catering for in-office client and team meetings.
Bookkeeping and Financial Management:
Oversee accounts payable and receivable, payroll processing, and reconciliations.
Maintain and organize financial records, ensuring timely and accurate reporting.
Assist with miscellaneous projects related to our hybrid work environment and employee engagement initiatives.
Team and Culture Support:
Play an active role in cultivating and maintaining the Efferent Media culture, ensuring employees feel supported and engaged.
Help create a welcoming and dynamic workplace through thoughtful engagement with the team and attention to details that improve the overall office experience.
You’re Probably a Match If You Have:
Experience & Skills:
At least 2 years of bookkeeping experience (QuickBooks proficiency is essential).
Strong organizational and multitasking skills with a proactive attitude.
Experience in office management or administrative roles is highly preferred.
Tech Savvy:
Comfortable with tools and technology, including QuickBooks, Microsoft Office, and Google Workspace.
Ability to adapt quickly to new tools and systems.
Personality & Drive:
You’re a natural at keeping things running smoothly and staying ahead of deadlines.
You’re a team player who enjoys supporting others and creating a positive work environment.
