    POSITION SUMMARY

    The Brand & Communications Project Coordinator supports the Brand & Communications Team and is responsible for managing internal and external project timelines and deliverables, executing logistics and presentation materials for events. This position also supports the Brand & Communications Team with community, investor and stakeholder engagement and tracking of activity and touchpoints. You will perform various coordinating tasks, like communication and reporting, along with administrative duties, like maintaining project documentation and handling meeting schedules and event details. To succeed in this role, you should have excellent time management and communication skills, as you’ll collaborate with internal teams and high-level executives who serve as our Investor Committee members, to deliver results on deadlines. Ultimately, the Project Coordinator’s duties are to ensure that all aspects of business are completed on time, within budget and meet high quality standards.

    Investor Relations

    • Coordinate all investor events driven by timeline deliverables, guided by the Manager, Investor Relations, and give proactive updates to the team.
    • Coordinate the logistical planning and development of greater:SATX Investor Quarterly Meetings and Roundtables driven by timeline deliverables; includes but not limited to: securing locations, invitations, agendas, presentations, etc.
    • Compile background research and administrative materials to support the development of corporate, individual and foundation investment presentations.
    • Manage investor contacts and organizational information ensuring most up to date information is captured accurately, and track engagement activities in the CRM (Salesforce) or related databases to ensure accurate reporting.
    • Proactively on-board new investors, including welcome materials, database updates, introductory meetings, etc.
    • Prepare and analyze reports on progress of fundraising activities for internal team and Investment Committee reporting; make recommendations/enhancements as necessary.
    • Develop, manage, track and be accountable for individual quantifiable goals for investor contact.
    • Coordinate and manage budget expenses and secure in-kind for most investor events.
    • Manage investor communications editorial calendar and coordinate with internal teams to deliver regular and timely email updates to investors. Additional communications support may be required, including the organizational News of the Day.
    • Pull Salesforce reports as directed by Manager, Investor Relation which include but are not limited to financial, unengaged investors, new investors, etc.

    Community Engagement

    • Support Director, Integrated Marketing in the execution of Community Engagement Plan, tracking of team representation, membership costs, etc.

    Project Management

    • Through Monday.com, manage all internal projects and timelines ensuring that project details, requests and deliverables are tracking effectively and efficiently across team.
    • Run meeting and own information presented and discussed within Weekly Team Status Report Meeting.
    • Partner with Agency Account Manager to ensure that all projects managed through the Agency are addressed in a timely manner and feedback is provided in an efficient and timely manner.
    • Attend Weekly Agency Status Meeting.
    • Manage, upkeep, and maintain Salesforce as system of record for all Investor information and background details.
    • Manage investor list integration with HubSpot for the dissemination of timely investor communications.

    POSITION QUALIFICATIONS

    Experience:

    • Minimum 2 years of Project Management experience preferred. Ability to interact with senior level executives

    Education : Bachelor’s Degree in Communications or Business preferred. Relevant work experience may be considered in lieu of a degree.

    Computer Skills : Proficient in MS Office (PowerPoint, Excel, Word, Outlook, Teams), Salesforce and Project Management Tool (Monday.com preferred).

    Other Requirements : Valid Texas driver license.

    WORK ENVIRONMENT

    This is a flexible work environment which includes both in-office attendance and the ability to work from home as business needs allow. Work is performed both indoors and outdoors. Operating computer, manual dexterity, talking, hearing, and repetitive motion. Use of personal computing equipment, telephone, and multi- functioning printer. Ability to travel to and from meetings, training sessions or other business-related events.

    After-hours work/travel may be required.
