    GENERAL SUMMARY:

    A unique opportunity exists to join a team in creating a vibrant senior learning community on the campus of Purchase College, State University of New York. The residents of this university-based retirement community will be able to enjoy the many amenities of the college including the renowned Neuberger Museum of Art, the Performing Arts Center, the academic and athletic facilities, and the park-like campus.     POSITION SUMMARY

    The Executive Assistant will support the Executive Director. The role requires high emotional intelligence and interpersonal skills, highly technical capability with suite of tools, an incredible work ethic, and the ability to proactively anticipate and manage a variety of executive needs.

    The Executive Assistant will exercise considerable discretion in judgment, confidentiality, and will possess the organizational skills to support the varied tasks and deadlines that are required daily.

    Responsibilities

    • Provide a proactive level of executive administrative support, ensuring excellent service and professionalism with every interaction.

    • Manage all PSLC Board interaction, board meeting calendar, meeting supplies & room set-up, board correspondence.

    • Demonstrate ability to problem solve and bring forward recommended solutions.

    • Consistently demonstrate excellent judgment, and integrity, exhibiting a high level of confidentiality, discretion and diplomacy when dealing with sensitive correspondence, issues, and information.

    • Coordinate all travel arrangements (flights, car service, hotel reservations, etc.) and process reimbursable expenses in a timely manner.

    • Proactively manage calendar, schedule meetings, arrange meeting logistics and resolve calendar conflicts.

    • Interact with executives, directors and residents internally and externally, responding to requests with an appropriate sense of urgency.

    • Prioritize and manage your own workflow to ensure quality and efficiency to meet deadlines and be flexible in adjusting to changing work priorities.

    • Proactively address, or resolve issues, within their own area of accountability and keep the Executive Director informed of any matters requiring their attention.

    • Prepare correspondence, reports, presentations, and other materials, ensuring deadlines are met.

    • Assist with other special projects, perform additional assignments, as needed – growth mindset.

    The salary range for this opportunity is $55,000-$65,000 per annum.

    Requirements

    • Bachelor’s degree in business administration, related field, or relevant experiences.

    • 5+ years of experience as an Executive Assistant

    • Organizationally savvy, with keen ability to read sensitive situations and respond effectively.

    • Excellent communication skills, both written and verbal.

    • Strong organizational skills and attention to detail.

    • Ability to multitask and manage competing priorities.

    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

    • Experience in project management and event coordination.

    • Ability to maintain confidentiality and handle sensitive information.

    • Ability to work independently and as part of a team.

    • Flexibility to work outside of regular business hours when needed.

    PHYSICAL REQUIREMENTS/WORKING CONDITIONS:

    Must be able to move throughout the building and grounds as needed throughout the day; must

    be able to lift to 30 lbs. Good visual and hearing acuity required; good verbal communication

    skills required. Must be able to speak English. May be exposed to communicable diseases, and

    blood and body fluids that may contain HIV and/or HBV. May be exposed to cleaning

    chemicals and offensive odors.
