Description: This position provides administrative support to enhance the business operation of the company. The position has responsibility for coordinating and supervising the business operations of a medium-size company, including payroll, accounts receivable, accounts payable, supplies, space and equipment.
Education: High School Diploma/GED required
Qualifications: Minimum requirements include at least 3 years of payroll and billing experience, competency with QuickBooks and Excel. Office management experience strongly preferred. Must be detail oriented and have excellent customer service skills.
Reports to: Administrator
Primary Duties:
Enters employee time sheets, calculate and submit payroll.
Bills clients or insurance company using paper and electronic invoices.
Posts payments and reconciles accounts.
Generates aging and collections reports to track accounts.
Conducts claims research and resubmits billings as necessary.
Pursues collection of overdue accounts.
Enters new employee and client data into the billing and payroll systems.
Responds to inquiries re: billings, accounts, or payroll.
Completes paperwork for employment verifications and requests for information from state agencies and others vendors.
Responds to claims from workers’ compensation and unemployment.
Monitors office supply inventory and orders supplies as needed.
Coordinates purchases, leases and maintenance of office equipment.
Coordinates business/office related issues such as space, furniture, telephones, computers, etc.
Supervises general office or business office employees as requested.
All other duties assigned.
Rotational on call as assigned.
Hours: Generally 8:00 AM – 4:00 PM, Monday through Friday
