    Position Overview:

    The C-Suite Executive Assistant will serve as a strategic partner to the executive leadership team at Blueprint University, providing essential administrative and operational support to drive the company’s growth and success. In this role, you will manage complex calendars, communications, and logistics for the C-suite executives, ensuring the smooth execution of day-to-day operations. You will also assist in managing key projects, maintaining confidentiality, and fostering strong relationships with clients, investors, and partners. This position requires a proactive, detail-oriented individual with excellent organizational skills and the ability to thrive in a fast-paced, dynamic startup environment. You will play a key role in ensuring that the executive team can focus on high-level strategic goals while you manage and support their day-to-day needs.

    Key Responsibilities:

    1.) Executive Support:

    Provide high-level administrative support to the C-suite executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.

    Screen and prioritize calls, emails, and other communications, ensuring timely and efficient responses.

    Prepare, review, and edit correspondence, presentations, reports, and other documents as needed.

    2.) Calendar and Meeting Management:

    Coordinate and manage executive calendars, scheduling internal and external meetings, appointments, and conferences.

    Ensure executives are fully prepared for meetings, providing agendas, documents, and briefing materials.

    Oversee meeting logistics, including scheduling virtual meetings, conference calls, and in-person appointments.

    3.) Project Management Support:

    Assist with the coordination and execution of key company initiatives by managing tasks and ensuring timely completion of deliverables.

    Track project progress and collaborate with relevant teams to ensure all milestones are met and on schedule.

    4.) Confidentiality & Documentation:

    Manage confidential company and financial information, ensuring documents and data are handled securely.

    Organize and maintain electronic and physical filing systems for corporate records, contracts, and communications.

    5.) Client & Stakeholder Relations:

    Serve as the primary point of contact for clients, investors, and partners on behalf of the executive team, ensuring smooth communication and relationship management.

    Prepare and manage materials for high-level meetings with clients, investors, and other stakeholders.

    6.) Expense and Budget Management:

    Oversee the preparation and submission of executive expense reports, tracking receipts and ensuring compliance with company policies.

    Manage the executive team’s budget and ensure expenses are tracked and reported accurately.

    7.) Administrative Leadership:

    Mentor and guide junior administrative staff and other team members, ensuring efficient support operations.

    Act as a liaison between executives and other departments, helping manage workflows and internal communications.

    8.) Event Coordination:

    Plan and coordinate company events, board meetings, conferences, retreats, and networking events for the executive team, clients, and partners.

    9.) Continuous Improvement:

    Proactively identify areas for improvement in the executive operations and suggest solutions for optimizing workflows, communication, and processes.

    Ensure the executive team is always well-prepared for meetings, deadlines, and business milestones.

    Requirements:

    Education: Bachelor’s degree or equivalent experience preferred.

    Experience: 5+ years of experience in an executive assistant or administrative support role, preferably in a C-suite environment.

    Skills:

    Exceptional organizational and multitasking abilities, with strong attention to detail.

    Excellent verbal and written communication skills; ability to communicate professionally with internal teams and external stakeholders.

    Proficiency in Microsoft Office Suite, Google Workspace, Salesforce and other productivity or project management tools.

    Ability to manage confidential information with discretion and maintain a high level of professionalism.

    Strong problem-solving skills and the ability to work independently and under pressure.

    Attributes:
