Job Summary:
The CEO Assistant provides high-level administrative and operational support to the Chief Executive Officer of a manufacturing company. This role involves managing executive schedules, coordinating key business activities, handling confidential information, and ensuring efficient communication between the CEO and internal/external stakeholders. The ideal candidate is highly organized, proactive, and capable of handling multiple priorities in a fast-paced industrial environment.
Executive Support:
Manage and maintain the CEO’s calendar, scheduling meetings, appointments, and travel arrangements.
Prepare and review reports, presentations, and correspondence on behalf of the CEO.
Conduct research and compile data to assist in decision-making.
Act as a liaison between the CEO and senior management, employees, clients, and vendors.
Screen and prioritize emails, phone calls, and requests for meetings.
Operational & Administrative Support:
Oversee and coordinate special projects and initiatives as assigned by the CEO.
Assist in preparing operational reports, performance reviews, and financial summaries.
Manage confidential documents and ensure data security.
Assist in organizing company events, meetings, and executive conferences.
Coordinate with different departments to ensure smooth operational workflow
Manufacturing Industry Support:
Understand the company’s manufacturing processes, supply chain, and production schedules.
Support the CEO in monitoring key operational metrics and performance indicators.
Assist in liaising with suppliers, contractors, and regulatory bodies.
Prepare reports on manufacturing efficiency, costs, and productivity as needed.
Travel & Logistics Management:
Arrange business travel, including transportation, accommodations, and itineraries.
Process expense reports and reimbursements for executive travel.
Qualifications & Skills:
Bachelor's degree in Business Administration, Management, or a related field (preferred)
3+ years of experience as an Executive Assistant, preferably in a manufacturing or industrial setting.
Strong organizational and time-management skills.
Excellent verbal and written communication skills.
Ability to handle confidential information with discretion.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong problem-solving abilities and attention to detail.
Ability to work independently and manage multiple priorities.
Work Environment:
Office-based role
May require flexibility in work hours based on business needs.
