    Administrative Clerk III

    Starting Salary: Start: $15.05 - Max Rate: $24.21 (R6)

    FLSA Status: Non-exempt - Hourly

    SUMMARY

    Under the direction of a supervisor, performs advanced level clerical duties combined with complex advanced level administrative or complex technical work. Considerable independent judgments, along with strict confidentiality, are required.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

    • Type correspondence, invoices, statements, reports and other materials; composes and types letters, memos, minutes, notices, and other materials from other sources.
    • Types approximately 50-60 words per minute.
    • Maintains personnel records; coordinates vacations and other interacting personnel matters.
    • Serves as an administrative liaison between supervisor, other departments / divisions and the public.
    • May prepare or control the division budget; monitors expenditures levels; provides fiscal control over expenditure requests.
    • Performs detailed research; prepares and maintains various administrative, annual, and technical reports.
    • May have substantial customer contact; may attend meetings, take and record minutes of meetings.
    • May be responsible for departmental/divisional payroll functions including but not limited to computing daily time cards; receiving and recording absentee records; preparing overtime reports; preparing time sheets; and any other payroll duties.
    • May be responsible for supervision of personnel who receive payments or monies.
    • May be responsible for ordering, receipt, distributions, counting and selling of tickets to events. May be responsible for balancing ledgers and cash drawers.
    • Plans for, orders, and manages operating supplies for the division/department.
    • Must be able to perform duties of Administrative Clerk I and Administrative Clerk II.
    • Perform any other duties as assigned.

    SUPERVISORY RESPONSIBILITI ES

    May have supervision duties over other clerical staff if assigned.

    QUALIFICATIONS

    • Knowledge of organizational structure, administrative and legislative procedures of city government.
    • Knowledge of principles of office management and methods of application of such knowledge to varied work problems.
    • Ability to establish and maintain effective working relationships with staff, department or division director, other departments, divisions, agencies and the public.
    • Ability to communicate effectively, both orally and in writing. Ability to maintain confidentiality of records and materials.
    • Ability to work independently and effectively resolve administration problems. Ability to prepare statistical analysis.
    • Above average knowledge of computer software.
    • Regular and prompt attendance is an essential function of this position.
    • The ability to get along and promote a harmonious working environment with vendors, supervisors, citizens, and co-workers is an essential function of this position.

    EDUCATION and/or EXPERIENCE

    Associate's degree (A. A.) or equivalent from a two-year college or technical school preferred, High School diploma or GED required. Six months to one year related experience and/or training; or equivalent combination of education and experience.

    LANGUAGE SKILLS

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present

    information and respond to questions from groups of managers, clients, customers, and the general public.

    MATHEMATICAL SKILLS

    Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

    REASONING ABILITY

    Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

    CERTIFICATES, LICENSES, REGISTRATIONS

    Must have a valid Louisiana Drivers License

    PHYSICAL DEMANDS

    While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. The employee frequently is required to reach with hands and arms. The employee is occasionally required to stand; walk; climb or balance; stoop, kneel, crouch, or crawl; and taste or smell. The employee must regularly lift and/or move up to 10 pounds.

    The noise level in the work environment is usually moderate.
