We are currently looking for a detail-oriented Accounting Administrator Assistant to oversee the essential functions of processing accounts payable and receivable, along with maintaining accurate records of invoices. The primary role involves effectively managing the financial transactions to ensure the company's financial records are up-to-date. In addition to managing the inflow and outflow of funds within the company's accounts, an Accounting Clerk also performs clerical tasks such as data entry, generating reports, and various administrative duties like organizing and maintaining both physical and digital records. Responsibilities:
Data Entry: Basic data entry tasks for accounting assistants include logging transactions, recording and reviewing journal entries, creating invoices, and crafting spreadsheets.
Clerical Duties: Accounting assistants may run errands around the office. Handling incoming mail, scanning documents, and preparing quarterly reports. Provide year-end audits and bank reconciliations.
Customer Service: Accounting assistants often need to communicate with vendors and customers about invoices and payments. This could be by email or phone.
Employee Expenses: Assisting with payroll is one of the most important parts of an accounting assistant's job description. Verify timesheets, calculate vacation and sick days, prepare checks, and assure compliance with laws and best practices.
Financial Reports: Accounting assistants help accounting managers create and update financial reports. Work on balance sheets, statements of income, statements of retained earnings, and cash flow statements.
Requirements and skills:
Work experience with a CPA firm
Essential to have strong interpersonal skills and effective communication.
Excellent knowledge of accounting regulations and procedures, including the Generally Accepted Accounting Principles (GAAP)
Hands-on experience with accounting software Lacerte and QuickBooks
Advanced MS Excel skills including Vlookups and pivot tables
Experience with general ledger functions
Strong attention to detail and good analytical skills
