Job Summary The Admissions & Recruitment Associate (ARA) is the first point of contact for clients, to programs and services offered by CAP Tulsa; this position is primarily responsible for application interview, determining program eligibility, enrolling families into the CAP Tulsa Early Childhood Program and maintaining excellent customer service. Works under the direct supervision of the Assistant Director, Admissions & Recruitment. Receives work direction from the Director, Admissions & Recruitment, Admissions Coordinator, Admissions & Recruitment Associate II. Makes routine choices within established procedures with readily available supervision. Performs intermediate troubleshooting or analysis; requires interpretation of data using generally prescribed procedures. Frequent interaction to provide basic information; occasionally requiring detailed procedural explanations or technical response. Responsibilities/Essential Functions: * Provide program information, instructions on how to apply to the program and/or waitlist status to clients who visit or call the Admissions office. Note all client contact in the familys electronic record. * Provide application intake and interview support at the Admissions office and as needed at monthly application events. * Determine family eligibility, for CAP Tulsa Early Childhood Programs, including applications received by recruiters and temporary employees. * Accurately enter family information into all data systems within specified deadlines. * Track client interactions in MAPS, Child Plus and the Client Services Call Log. Track applications received in the Application Accountability Database. * Conduct monthly audits of applications accepted and eligibility determinations to ensure regulatory compliance. * Use the ECP Waitlist to ensure families with the highest score, based on selection criteria, are selected and enrolled. * Make conditional enrollment offers to eligible families when an enrollment opportunity is created and if accepted enroll children into the program. * Ensure enrolled families attend Family Enrollment Meetings, mail documents, prepare meeting folders, schedule meetings and complete family intake and interviews as assigned. * Notify schools and service areas when a student is entering the program, attach family documents in data systems, create binders and ensure delivery of all family information to sites. * Process all drop requests, school transfer and classroom transfers; notify schools and service areas. * Prepare and submit required student documents to public school partners, within established deadlines. * Notify public school partners, via Power School, when a student drops from the program. * Submit district transfer forms for any student living outside of the public school district. * Submit Home Language and English Language Learner forms for any student who speaks a language other than English. * Audit attendance report and monitor attendance; ensure attendance is entered into Child Plus and notify School Leaders when attendance is not recorded. * Attend school registration events for assigned schools and process documents within specified deadlines. * Cover reception breaks and lunches as assigned. Required Education/Experience * High School Diploma or GED * Requires one year of equivalent work experience * Bilingual Spanish/English (verbal and written) preferred Knowledge/Skills/Abilities * Must have proven successful interpersonal relationship skills to maintain effective and satisfactory working relationships with intra-department and inter-department staff, vendors, clients, visitors, and contractors. * Ability to follow oral and written instructions with ability to read, interpret, and present information efficiently and effectively. * Must be able to accurately audit records and ensure compliance with written or oral guidelines. * Ability to take initiative, multi-task and work well under pressure. * Must maintain strict confidentiality of extremely sensitive data, records, files, conversations, etc. Intermediate MS Office skills, working knowledge of accounting and budgeting practices. * Advanced organizational skills, efficiency skills and excellent attention to detail with a demonstrated commitment to completing assignments on a timely basis. Essential Physical & Mental Requirements Throughout daily job performance the employee is subject to the following: Standing, stooping, walking, lifting, carrying, keyboarding and repetitive movement. Must be able to lift and carry twenty (20) pounds. Occasional exposure to annoying odors, angry public and offensive language. Regular and reliable attendance required.
