Job Description
SUMMARY
Perform a variety of administrative duties to support the Human Resource Department. As a member of the Human Resource team, serve as a first contact for most applicants and new employees. Utilize strong multi-tasking skills to manage a busy desk with regularly shifting priorities. Identify, research and implement technology and process improvement solutions to streamline HR administrative work while maintaining high levels of personal quality service. Maintain confidentiality at all times.
Maintains the integrity of our HRIS system. Processes employee data forms for new hires and changes in employment status and then enters those updates into the HRIS system.
Maintains employee records and coordinates the processing of newly hired employees.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
-Assist with pulling jobs from our applicant tracking system and preparing for Position Control Committee.
-Post approved open positions internally.
-Problem shooting applicant tracking system for employees.
-Save new and revised job descriptions to Group Folders.
Manage new hire process
-Work with Talent Acquisition to send offer letters and coordinate new hire forms including, but not limited to, background checks, verification of degrees and certifications, healthcare related certifications, all federally required paperwork, etc.
-Coordinate the new hire orientation; notify new employees/supervisors; maintain schedule; assure completion; customize as necessary.
-Establish employee files.
-If new hires have findings on their background checks, interview them to review the circumstances and prepare document to go through approval process.
-If new hires have findings on their driving record checks and drive for their job, interview them to review the circumstances and prepare document to go through approval process.
Employee related duties
-Prepare and send offer paperwork.
-Process Employee Data Forms for new hires, transfers, terminations, etc.
-Enter all new hires and employment changes into our HRIS system.
-Direct employees to appropriate source for problem resolution as needed.
-Process six month and annual reviews; support manager/employee compliance.
-Prepare and distribute HR queries as needed including but not limited to:
monthly salary reports, outstanding performance appraisals, etc.
Manage HR special events
-Plan, oversee, and execute employee service award events, utilizing volunteer teams, as possible.
Perform general duties:
-Welcome current and new employees and applicants as they visit the HR Department.
-Prepare letters, announcements, policies, presentations, etc.
-Handle phone calls from internal and external individuals.
-Process incoming, outgoing, and interoffice mail.
-Prepare purchase orders.
-Maintain all employee files.
-Maintain the calendar for the Senior Human Resources Business Partner and other staff members as necessary.
-Verify employment for current and past employees.
Assist with the planning and organization of employee trainings.
-Schedule trainings for some CARF required courses; notify employees and update HR database when courses are completed.
-Assist department with projects as required.
-Communicate effectively and maintain cooperative relationships with staff, representatives of other agencies and the public.
OCCASIONAL DUTIES:
Cover for Senior Administrative Assistant; support Centerwide events as needed.
EDUCATION AND/OR EXPERIENCE
Associate's Degree required, BA or BS degree a plus. Minimum three years prior related experience is required. Human Resources background desirable. Must possess excellent interpersonal and communication skills. Strong computer skills required.
