  • Responsibilities

    Job Description

    • Assist management in addressing administrative needs and provide day to day supervision to the office and tracking functions
    • Provide leadership and oversee the activities of the center and functional areas: i.e. tracking department, customer service (front end) and case management (back end)
    • Manage change, developing and implementing solutions where necessary
    • Manage employees in accordance with company and contract requirements, ensuring compliance with WFS Center/Equus company policies and procedures
    • Compile and analyze information from a variety of sources to assist in the preparation of daily, weekly, monthly, and quarterly reports
    • Ensure timely submissions of required reports from all departments and timely submission of reports to Funding Source, Company, PD, DPD or Project Accountant
    • Compare performance data to contract and/or state goals on a weekly basis
    • Conduct a needs assessment and facilitate staff training when necessary
    • Interact and respond to inquiries by Funding Source and or Company as required
    • Determine and define project scope and objectives
    • Predict resources needed to reach objectives and manage resources in an effective and efficient manner
    • Prepare budget based on scope of work and resource requirements
    • Track project costs in order to meet budget
    • Develop and manage a detailed project schedule and work plan
    • Provide project updates on a consistent basis to various stakeholders about strategy, adjustments, and progress
    • Manage contracts with vendors and suppliers by assigning tasks and communicating expected deliverables
    • Utilize industry best practices, techniques, and standards throughout entire project execution
    • Monitor progress and make adjustments as needed
    • Measure project performance to identify areas for improvement
    • May conduct monthly/weekly meetings involving all staff
    • Interpret and apply regulations and policies and ensure consistency and compliance with governing laws and regulations
    • Develop a written internal growth plan for assigned supervisors
    • Have working knowledgeable of all funding sources for all service sites supervised
    • Ensure that all company/Funder training curriculum is implemented
    • Hire, supervise, reward, discipline, and evaluate all direct reports timely, fairly, and effectively
    • Clearly communicate to line staff how their work supports and advances Workforce Solutions Mission and Values
    • Effectively communicate with all contractors to coordinate a response to employers’ and residents’ workforce needs
    • Utilize industry best practices techniques and standards using LMI and other sources
    • Meet performance goals
    • Identify how individual staff may benefit by coaching and/or mentoring from supervisory or other senior staff members to increase general labor market knowledge and develop competence in applying that knowledge to help Workforce Solutions customers
    • Delegate and review status of on-going work to ensure that staff are meeting expectations and are completing their assigned work on time
    • Coordinate with facilities to address office needs/repair
    • Coordinate with IT to address staff hard
  • Qualifications

    Qualifications

    • Bachelor's Degree required; Master's Degree preferred
    • 10 years professional experience organizing, planning, and developing social programs and services at a management level plus 2 years upper-level management experience or equivalent combinations thereof
    • 3-5 years of project management and related experience
    • 3 years experience as a tracker
    • Minimum five years management experience with a keen knowledge of workforce policies and procedures preferred
    • Project Management Professional (PMP) certification preferred
    • Ability to strategically manage at an executive level
    • Knowledge of financial and business principles with previous P&L responsibility
    • Manages an office budget of 1.5 million dollars
    • Requires strong oral and written communication skills, the ability to develop functional teams in multi-site operations and possess excellent public relations skills
    • Commitment to customer-focused service delivery systems
    • Proven ability to solve problems creatively
    • Strong familiarity with project management software tools, methodologies, and best practices
    • Experience seeing projects through the full life cycle
    • Excellent analytical skills
    • Strong interpersonal skills and extremely resourceful
    • Proven ability to complete projects according to outlined scope, budget, and timeline
