Position Overview:
The Catering Operations Specialist plays a key role in ensuring seamless event execution by managing logistics, coordinating event staff schedules, overseeing event setup and breakdown, and delivering catering orders with professionalism. This position requires a detail-oriented individual who thrives in a fast-paced environment, balancing event coordination and catering fulfillment while providing top-tier customer service. Additionally, this role will be responsible for picking up and making drop-offs to local vendors, such as rental companies and food vendors. The Catering Operations Specialist will primarily report to the Sales team and both Culinary Leads.
Key Responsibilities:
Primary Driver Responsibility
Serve as the primary driver responsible for catering deliveries and vendor pickups/drop-offs, ensuring that all orders arrive on time and in excellent condition.
Coordinate and transport catering orders safely and efficiently while maintaining high professionalism.
Event Logistics & Execution
Assist with planning and executing event setups, ensuring all elements meet company standards.
Create and design buffet and station mockups for visual appeal and functionality.
Oversee the setup and breakdown of events, ensuring smooth execution.
Create event menu signage using Canva and other software programs.
Catering Delivery & Setup
Load, transport, and unload catering orders safely and efficiently.
Ensure timely and accurate deliveries to clients, maintaining high standards of professionalism.
Set up catering orders according to client specifications, including buffet arrangements when required.
Communicate with clients upon delivery to confirm order accuracy and satisfaction.
Staff Scheduling
Schedule event staff, including chefs, servers, and bartenders, based on event needs.
Vendor Pickups & Drop-offs
Pick up and make drop-offs to local vendors, such as rental companies and food vendors, as needed.
Client Service & Communication
Serve as a point of contact for clients during event setups and deliveries.
Provide exceptional customer service and address any concerns promptly.
Ensure a seamless client experience from delivery to event completion.
Equipment & Inventory Management
Maintain, organize, and inventory all catering equipment to ensure availability and proper functionality.
Order and manage disposable catering supplies through vendors such as Amsmart, Uline, Amazon, and others.
Track inventory levels to ensure all necessary catering materials and disposables are stocked.
Track inventory for US food and other operational supplies. Provide inventory updates to the kitchen manager on a weekly basis to ensure timely ordering and stock management.
Equipment & Vehicle Maintenance
Maintain cleanliness and organization of company vehicles.
Report any vehicle maintenance needs or issues promptly.
Ensure catering equipment and supplies are properly loaded and returned after events.
All Hands on Deck Mentality

Assist the culinary team with prep work or packing orders.
Pick up and deliver products from vendors as needed.
Perform other duties as assigned to support event success.
Daily Operations & Equipment Organization
Manage daily operations and ensure that all catering equipment is inventoried, organized, and ready for future events.
Ensure that all equipment is stored properly and maintained consistently.
Organize and inventory all catering equipment in between events to ensure it is always in top condition. Waiting until the last minute to organize equipment is not an option.
Uniform & Linen Responsibility
Ensure that all ties, aprons, and linen napkins are cleaned, stocked, and ready for events.
Manage the cleaning of items that require dry cleaning, and ensure they are taken to the cleaners and returned on time. The company will cover costs, but proactive management is essential.
Proactive Work Ethic
Exhibit a proactive work ethic, anticipating tasks and executing them without waiting for direction.
Take initiative and stay ahead of the workflow to ensure efficiency and timely completion of all tasks.
Event Duties After Transport
After delivery and transport, assist with the setup and execution of the event, ensuring everything is arranged according to client preferences.
Perform any necessary tasks to ensure smooth event operations, such as replenishing food stations, assisting with guest services, and ensuring the event area remains tidy and well-organized.
Basic Requirements:
Valid Texas driver’s license and a clean driving record.
Ability to lift at least 50 pounds and stand for extended periods.
Strong customer service skills with a professional and friendly demeanor.
Basic computer skills, including the ability to use scheduling and inventory software.
Problem-solving skills and the ability to be proactive in finding solutions to challenges that may arise.
Strong attention to detail and ability to work efficiently in a fast-paced environment.
Position Details & Benefits:
Hourly Pay: $22/hour + gratuity
After-Hours & Weekend Catering Deliveries & Setup: $30/hour
Schedule: Flexible hours, including weekends and evenings based on event needs
Location: Dallas, TX
