Job Description
The Marcom Administrator, GCAP & MAM is responsible for the administration, coordination and maintenance of the Dublin global communications approval process ensuring compliance to applicable SOPs and Regulatory and Legal regulations, policies and procedures. The position is also responsible for the management and maintenance of the Dublin MarCom and Group Com media asset management library and archives and Media Asset Management system (MAM). Additional assists in support of the Dublin Global Group Com Web and Digital Communications group
ESSENTIAL FUNCTIONS:
· Responsible for the administration and coordination of the global communications approval process (GCAP) and maintenance of GCAP files and documentation.
· Responsible for trafficking of GCAPs ensuring accurate completion to deadlines and to applicable SOPs and Regulatory and Legal regulations, policies and procedures. Prepares documentation, routes to appropriate approvers, coordinates status and status updates, partners with MarCom, Marketing, Legal, Compliance, and Regulatory departments on process, closes GCAP and maintains documentation and files.
· Prepares for and assists in audits as needed.
· Conducts GCAP trainings and maintains updated GCAP training materials.
· Identifies and recommends improvements to GCAP process to streamline process, reduce turnaround times and to increase efficiencies.
· Responsible for the management and maintenance of Dublin MarCom media assets and global Media Asset Management system (MAM), processes and procedures.
· Develops and maintains processes and procedures for MAM usage, administration and maintenance.
· Conducts trainings for MarCom and Group Com team(s) on MAM usage and maintenance.
· Analyzes and troubleshoots issues; recommends and implements improvements, as needed.
Requirements
· 2-year Associate degree required. Four-year college degree preferred .
· Minimum two (2) years’ experience in marketing communications, marketing operations, trafficking and/or regulatory or data administration.
· Proficient with MS Office (Excel, Word and PowerPoint). Web / digital communication project management skills and desktop publishing a plus.
· Excellent project management and data administration skills.
· Excellent organizational skills and able to multi-task under pressure. Must be able to prioritize and handle a variety of projects simultaneously.
· Excellent communication skills and interpersonal skills. Ability to manage up and across the organization. Must be a team player.
· Must be able to work independently and take initiative in problem solving and decision-making.
