Are you a meticulous record keeper with a passion for keeping things organized and projects on track? Join our team as our Catering and Office Administrator! We are looking for a team member who is as adept at suggesting the right amount of food for a catering customer as they are at processing invoices and keeping the back office organized. The ideal candidate excels at both verbal and written communication, is a whiz at logistics and timelines, and keeps detailed records. This position requires office work on the weekends, holidays, evenings and early mornings, and occasional onsite work at events, including delivery driving, as part of the catering service team. This is a part-time position which may (upon approval) be combined with a front- or back-of-house position in the restaurant to make a full-time equivalent.
Duties include:
Answering inquiries from customers by phone, email or in person in a timely and customer service-oriented manner that represents the values of Highway Inn. Professional, proper, and courteous phone skills are required, including transferring calls appropriately and keeping on-hold times for customers to a minimum. Verbal and written communication should be clear, concise, and error-free, using proper grammar and respectful language.
Advising customers on the right food selections for their particular needs and ensuring customers are properly prepared for order delivery/pickup.
Responding to customers with a positive, “can do” attitude, offering suggestions and solutions when we cannot meet a customer’s exact demands.
Taking the initiative to see where potential problems with orders, timelines or delivery logistics may lie and coming up with preventative measures or solutions.
Accurately recording orders and delivery information, relaying details to the catering team, and following up with the customer at multiple touch points prior to event date.
Assisting the catering team with loading orders and unloading/returning equipment to storage.
Occasional delivery shifts, requiring the ability to drive, park and unload a compact cargo van. (Commercial driver’s license not required.)
Timely review and completion of accounts receivable catering invoices and review and processing of accounts payable vendor invoices, providing accurate and complete documentation and handling customer payment.
Organizing equipment/materials storage areas and managing supply inventories.
Creating and maintaining accurate records and assisting with procedural documentation, data entry and record keeping for systems such as food safety, maintenance, or others; assisting with data collection, tracking and verification, and preparing reports in compliance with state and federal requirements
Preparing documentation, routing, scanning and/or filing paperwork, processing paperwork, operating and troubleshooting office equipment, assisting with employee onboarding procedures
Stepping in to ensure that tasks, orders and other processes and projects are completed or continue on track; reminding managers of pending matters or upcoming deadlines

Qualifications
Minimum 2 years customer service experience in restaurant, catering or event services; familiarity with Hawaiian food and “Hawai‘i local” dishes preferred
Food safety certification is a plus
Excellent customer service and interpersonal skills
Conversational level or fluency in non-English languages a plus
Strong attendance record
Positive attitude
Team player who is able to multitask efficiently
Proactive in identifying and anticipating needs and concerns of customers, co-workers and managers
Able to sit continuously for long periods of time, utilize a computer and various office software programs
Must be able to life 20-25 pounds with or without assistance
Required to follow both oral and written instruction
Expected to communicate clearly and efficiently with co-workers and managers
Valid Hawaii state driver's license
