Summary
The Catering Sales & Events Manager is responsible to sell and manage all corporate, group, and social events. The Catering Sales & Events Manager supports the Food & Beverage Manager in oversight of the Catering/Banquet department staff training and compliance with all hotel policies. This position communicates all event details and expectations to Limelight Department Heads by conducting weekly BEO meetings and acts as liaison between client and The Limelight Hotel from initial sales inquiry to event completion and final billing.
The budgeted salary range for this position is $70,000 - $80,000 plus commissions. Actual pay will be dependent on budget and experience, all our salaried roles are eligible for bonus.

Essential Job Functions
• Sell and contract meetings and catering events at the Limelight Hotel and the Snowmass Wedding Terrace, along with cater-out efforts to off-site properties and the Snowmass Conference Center
• Coordinate events presented by the Catering and Sales departments, as well as in-house events with affiliated departmental team members
• Oversee client relationships during events. Remain visible and accessible to in-house contacts
• Reception and professional management of catering and sales business inquiries. Must have the ability to explain the hotel accommodations and services, while selling our food and beverage products and services
• Trace and collect deposits for all contracted group events. Act as Key Delphi Operator for Banquet & Catering department
• Produce forecasts, pace reports, sales correspondence, contracts/proposals, memos and manuals as directed by the DOS and F&B Manager
• Produce and share Banquet Event Orders and event resumes with clients and hotel team members
• Direct weekly BEO (Catering) meetings to review event details with kitchen, banquet management team and F&B Manager
• Conduct pre-conference meetings with in-coming group coordinators to ensure final details and changes are discussed and hotel management team introductions are made
• Attend functions as they begin to acknowledge client satisfaction and introduce banquet management team to the client
• Responsible for touring potential clients, arranging set-up details and on-site oversight at the Wedding Terrace when contracted events are underway at that venue.
• Responsible for bi-annual updates and maintenance of the Banquet Menu with the Chef, including competitive set analysis, pricing updates and content edits
• Assist in the banquet operation as Banquet Manager if needed based on staffing levels
• Review event final bills with Accounting to ensure correct billing procedures are followed
• Assist the F&B operation with outbound sales efforts, advertising and promotional needs
• Open communication with clients and staff
• Take a visible leadership role towards hotel guests and group clients
• Proactive selling required, along with creative menu planning skills
• Stay abreast of current market trends and research competitor strategies
• Knowledge of safe food handling procedures
• Assist in supervision of the catering/banquet employees and insure quality standards in service and presentation are maintained with the Food & Beverage Manager.
• Assist in department meetings (line ups) and contribute training and role play examples in banquets team as needed
• Assist in processing gratuity payouts for banquet employees in order to ensure accurate payroll processing as needed
• Inform F&B Manager, Director of Sales of any guest's comments and complaints
• Comply with all policies and procedures for the Catering/Sales Department, the Limelight Hotel and Aspen Hospitality
• Is familiar with hotel fire and safety procedures and assist in emergency and security procedures as directed by management
• Complete tasks and projects delegated by your manager and assist other departments as business volumes and staff levels demand
• Support efforts to ensure appropriate coverage for the sales/catering office with the team
Qualifications
• 4-year hotel degree preferred
• Previous catering/sales/F&B experience is required
• Knowledge of food & beverage, ability to work cooperatively with people, strong organization and supervisory skills, good public relation skills, professional appearance
• Strong written and oral English communications required
• Knowledge of Sales Force/Delphi, HMS and Microsoft Office applications is a plus
• Must have the ability to follow budgets and implement accounting procedures as needed

Supervision Given and Received
Given: This position has no supervisory responsibilities.
Received: Works under general supervision of Director of Sales. Receives continuing or individual assignments according to supervisor’s directions and may perform routine tasks. Expectations of the quality, quantity and deadlines are clearly set. Instructions, advice and assistance available as needed. Work is reviewed on demand or during scheduled check-ins.
Work Environment and Physical Demands
Ability to stand, type and sit at desk/computer for most of the work shift executing repetitive movements. No adverse or hazardous conditions. Not required, but preferred to be able to occasionally lift, push or pull 50 lbs. individually or with assistance
