JOB DESCRIPTION
Title: Administrative Assistant
Department: C21 Peak Realty
Reports to: Director of Operations
Summary: this position is primarily responsible for coordinating the operations of the realty offices and assisting with the acquisition and onboarding of new offices.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Answers basic questions for the RE associates regarding marketing, contracts, and prospecting; directs higher-level/more complicated questions to Broker of Record or Branch Manager
- Assists with the design and implementation of the C21 Peak Realty marketing strategy
- Trains associates and office staff on the C21-provided tools and systems
- Coordinates administrative tasks related to new office mergers and acquisitions, including but not limited to filing forms, checking for compliance, securing business licenses and trade names, securing vendors.
- Maintains E&O insurance, GL insurance
- Assists with new associate onboarding, acts as first point-of-contact for several weeks after new associate starts
- Oversees and works with Marketing to create business cards, listing and open house signs
- Puts together new associate packets
- Prepares Power Point presentations - Ensures new associates and employees are registered on C21 online
- Secures and maintains all the licensing for Peak (reporting for all states in which they are licensed, quarterly reports, facilitates and coordinates the reporting to keep licenses current, residential, and commercial)
- Other duties as assigned
DESIRED SKILLS AND EXPERTISE:
- 2+ years of marketing experience required; real estate experience preferred
- High proficiency in Microsoft Office Suite and some basic graphic design experience
- Minimum of Associate’s Degree in business-related course of study, Bachelor’s degree strongly preferred
- Strong written and verbal communication skills
- Positive attitude, highly dedicated and driven
