Position Summary: The Certification and Training Assistant will be responsible for managing data entry and transfers between internal and third-party contractor management databases to ensure accurate tracking of certifications and training records. This role will support the coordination of training programs across multiple projects, ensuring all required training is scheduled and tracked for compliance. The assistant will work closely with the Director of Fleet and Safety, Project Managers, and Superintendents to maintain up-to-date training documentation and provide timely updates on training statuses. Strong attention to detail and the ability to manage multiple tasks simultaneously are essential for success in this position.
Essential Duties and Responsibilities:
Perform data entry and transfer of contractor certification and training records between internal and third-party management databases.
Assist the team in coordinating and scheduling training sessions across multiple projects to ensure timely completion of required certifications.
Help maintain accurate and up-to-date training documentation, including certificates, completion dates, and renewal requirements.
Communicate with contractors and project teams to ensure training needs are met and recertification deadlines are adhered to.
Support the implementation of new training programs or certifications as required by project or regulatory changes.
Troubleshoot and resolve any data discrepancies or issues related to training and certification records.
Collaborate with internal departments to ensure consistency and accuracy in training data across systems.
Additional Job-Related Duties:
Comply with federal and state law, regulations, and all Company rules.
Participate in online and in-person training and other educational opportunities to develop knowledge, skills, and abilities.
Assist Director of Fleet & Safety with duties and cross train on those responsibilities.
Any other job-related activities requested by immediate supervisor.
Education and Experience:
High school diploma or equivalent required.
Minimum of one (1) year of related training or experience in administration preferred.
Proficient in Microsoft Office Suite or related software.
Excellent organizational skills and attention to detail.
Basic clerical procedures and systems such as recordkeeping and filing.
Ability to work independently.
Physical Requirements:
This position is based at our Jacksonville location, and regular in-person attendance is required. Remote work or telecommuting is not available for this role.
The noise level in the work environment is usually moderately quiet and does not subject the employee to the elements.
This position may require a flexible schedule and periodic overtime as needed.
