  • Responsibilities

    The Office Administrator is responsible for maintaining and supporting project management functions and accounting activities for the facilities department and other associated office support functions.

    This is a full-time, exempt position.

    DUTIES AND RESPONSIBILITIES:

    • Plans, organizes, and monitors the department budget and individual unit budget expenditures
    • Prepares and analyzes budget records, accounts, & reports
    • Reconciles department credit card and petty cash requests
    • Responsible for purchasing classroom and office furniture
    • Maintains service contracts and acquires various vendor services regularly for purchases and training
    • Prepares monthly/yearly department financial reports, tracks capital projects and capital equipment spending
    • Responsible for the administration of the work order software
    • Coordinates moving of faculty belongings each year during move cycle 
    • Assists with coordination of finishes for construction projects
    • Maintains the department’s regulatory and compliance records and trainings
    • Coordinates vehicle reservations, maintains driver licenses and associated records database
    • Responsible for collecting and maintaining required documentation for contractors
    • Schedules on call rotation for facilities management employees
    • Coordinates Board of Trustee material and takes minutes of committee meetings
    • Orders and maintains office supplies and uniform inventories
    • Maintains faculty housing data used to create a digital library of each residence’s owner’s manuals
    • Assists with planning of department events and functions

     

    REQUIREMENTS:

    • 4-year business degree
    • Minimum 2 years relevant experience
    • Proficient in Microsoft Office and School Dude software (or another work management system)
