    We are a patient centric med spa and health practice located in Alpharetta. Our services include a wide range of advanced laser treatments, weight loss, cosmetic injections, hormone, IV Therapy, PDO Threads, Ultherapy and other wellness services. Personalized treatment plans are created to meet the needs of our clients unique goals and desires.

    Job Summary:

    The Front Desk Coordinator is the first point of contact for our clients, responsible for ensuring efficient front office operations. This role involves a high level of positive energy while managing client appointments, inquiries, and executing administrative duties to ensure the smooth operations of this key role.

    Key Responsibilities:

    Client Interaction:

    • Greet clients warmly and create a welcoming atmosphere.
    • Address all general communication with clients via in -person, phone, email, chat portals. Communication is expected to be prompt and professional.
    • Schedule and confirm appointments.
    • Provide clients with information about services, treatments, and promotions.

    Administrative Duties:

    • Maintain all data in Aesthetic Record.
    • Process payments, manage cash drawer, and balance daily financial transactions.
    • Prepare and update daily schedules for staff and treatment rooms.
    • Order office and treatment supplies as needed.

    Customer Service:

    • Address client concerns and complaints with professionalism and escalate to management when necessary.
    • Ensure satisfaction and communicate professionally at all times.
    • Promote and upsell medical spa and wellness services and retail products to clients.

    Facility Management:

    • Ensure the reception area, waiting room, and treatment areas are clean and tidy

    Team Collaboration:

    • Work closely with the owner, medical professionals, aestheticians, and other staff to ensure seamless client service.
    • Assist with special events, promotions, and marketing activities as required.

    Qualifications:

    • High school diploma or equivalent; additional education in office administration or hospitality is a plus.
    • Previous experience in a front desk or administrative role, preferably in a medical spa or similar environment.
    • Proficient in computer skills and familiar with scheduling software.
    • Excellent communication and interpersonal skills.
    • Strong organizational skills and attention to detail.
    • Ability to multitask and handle a fast-paced environment.
    • Professional appearance and demeanor.
