We are looking for a proactive, independent Caltrans Project Coordinator to support engineering activities for our utility clients.
Roles and Responsibilities
Oversight and QA of Caltrans Design Standard Decision Document (DSDD) development for utility pole work contracted out to Engineering consultants
Engineer of Record for DSDD document development for work that may be performed in-house
Be the Subject Matter Expert for Caltrans DSDDs and DSDD exemptions
Interface and provide training to Utility transmission and distribution planners and other utility requestors on DSDD requirements and obtaining necessary information from utility stakeholders to develop the DSDD
Contribute to the development of internal processes for work requiring DSDDs with other stakeholders (i.e. Transmission Design Management, Distribution Tech Planning, Distribution New Development, Distribution Local Planning, and other Transmission & Distribution Project Management and encroachment permit support groups)
Interface with six Caltrans Districts (D5, 6, 7, 8, 9, and 12) to support DSDD reviews and approval
Support to Utility Regulatory Affairs in providing feedback to Caltrans Headquarters and Districts in refining DSDD processes with the shared goal of streamlining utility
DSDD approvals
Interface and provide engineering technical leadership and training to other engineers within the Civil Engineering group that may also be assigned to support this work on a part time basis
Oversee and coordinate the operational aspects of one or more projects.
Assess project issues and develop solutions to meet production, quality, and customer satisfaction goals and objectives.
Develop mechanisms for monitoring project progress and problem solving with project management, line management, and the customer.
Keep internal and external customers (i.e. project management, utility planners, developers, permitting staff, etc.) informed as to the status of their project.
Provide leadership for multiple aspects of controls including costs, planning, scheduling, engineering, supervision, and management of personnel
Review individual project proposals prepared by engineering consultant and prepare PO request for procurement
Prepare encroachment permit application packet to submit to Caltrans to include Caltrans permit application form, DSDD, TCP, and WOM
Coordinate with SCE planner to ensure WOMs have been prepared per Caltrans requirements with proper tie downs shown.
Assist in preparing Caltrans encroachment permit application.
Coordinates comments with Caltrans and SCE planner specific to revisions needed to DSDDs, WOMs, or TCPs
Resubmits the package to Caltrans after revisions are addressed
Coordinates with Caltrans to receive status updates on permits
Provides updates on permit status to SCE project managers
Qualifications/Experience
Civil Engineering PE
Experience with working with various Caltrans Districts preferably Caltrans Districts 5, 6, 7, 8, 9, and 12
Right of Way (ROW) expertise
Strong knowledge of Project Management principles
Basic knowledge of project scheduling
Proficient in Microsoft Office suite (Word, Excel, Power Point, SharePoint, Teams, OneDrive)
Skills Proactive approach to project management
Ability to work well in a team as well as independent
Strong written and verbal communication skills
Ability to adapt and reprioritize on a day-to-day basis depending on new or existing challenges that may arise
Strong interpersonal skills
