Position Title: Operations Coordinator Employment Type: 25 hours per week; potential for full time Start Date: July 23, 2024 Salary: $23/hr

Role Description

As an Operations Coordinator, you are the company's first contact, front-facing, and will play a crucial role in managing the day-to-day operations of sales and installation scheduling. We're looking for someone who not only brings a positive and friendly attitude, but also has a talent for creating efficient and organized installation routes. Experience with Salesforce or Marketsharp is a huge plus. Scheduling
First touch for incoming calls for new and existing customers
Schedules measures, installations, services, appointments, meetings, and office staff time off
Coordinates time off requests and flags overlaps
Supports sales with quarterly follow up calls
Project Coordination
Processes leads from website, Google, phone calls, etc.
Establishes initial contact record in MarketSharp (MS) and determines salesperson for appointment.
Text or emails appointment reminder day before
Checks MS that lead contact record has been updated by sales person within 24-hours of appointment. Reaches out to salesperson if information is missing.
Updates spreadsheets and maintains accurate records in MS
Inputs Sold jobs into MS including Contract, Addendums, Lead Form, and payment information.
Forwards contract to Operations and Procurement managers for review
Schedules measure appointment within 5 business days or asap
Pushes contracts to Quickbooks
Monitors progress of jobs and resolves issues that may arise during processing.
Creates paperwork for installer (or service technician when needed)
Adds QR code for Google review to install/service paperwork
Assembles customer gift and warranty folder
Digitizes customer files
Reporting
Maintains and emails weekly Lead, Sales, and Installation reports
Marketing
Admin support for creation and updates of contract, forms, letters, templates
Prints and assembles collaterals for tradeshows and proposals
Maintains showroom collateral inventory and brands with CV labels
Super Power
Loves bringing people together and being the hub of communications
Purchases thematic party supplies for birthdays, meetings, and special occasions
Sets up for parties and coordinates card signing, invites, etc.
Requirements: 2+ years scheduling experience and customer service focused Software Knowledge: MS Office (Word and Excel), Google (Sheets and Spreadsheets), Outlook, Marketsharp (CRM)
