Job Description
** Hours:** 7:30 a.m. – 4:30 p.m.
** Salary:** $20.45 per union contract
** Duties:**
Prepares advanced-level correspondence (i.e. documents which require a great deal of understanding of technical or legal language and applications) (e.g. legal briefs, affidavits, tax comparison charts, financial statements) independently with strict time procedures.
Prepares legal documents such as pleadings, judgment entries, preparation of findings and
recommendations for administrative support, formulation of recommendations regarding Mistake of Fact and any related documentation requested by attorney or legal team manager. Facilitates completion of daily workload of CSEA attorneys.
Performs various computer operations to establish, adjust, and/or enter case record information (e.g. monthly support amounts, address information, case type determinations, escrow/arrearage notations, etc.) into SETS. Inputs data for the creation of withholding notices and orders from the courts, new employer information, emancipation updates, arrearage payoff amounts, etc
Performs various administrative duties; coordinates the internal genetic draw operations for the Agency; serves as chain of custody designee for genetic draw operations and provides court testimony as needed; completes all State Enforcement Tracking System (SETS) screens as necessary, legal Case Referral List (CRL), calendars and SETS comments; assists with case load maintenance; acts as liaison to other divisional clerical specialists and the Court for questions/status
and updates regarding administrative paternities; gathers data to prepare and maintain statistics on various programs, services, and actions of legal division; sends and receives outgoing and incoming mail for agency; schedules appointments, hearing and interviews as directed; monitors “no service returns” and arranges for service of process on cases needing a special process server, as well as cases with out-of-state personal service.
Provides additional clerical support as needed; prepares intermediate and basic correspondence; assists lower-level clerical workers with the preparation of correspondence according to standard operating procedures or instructions; receives and screens incoming telephone calls and walk-in inquiries for CSEA attorneys. Answers routine questions.
Qualifications
** Minimum Qualifications** :
Twelve months previous clerical experience in a position similar to a Clerical Specialist 3 or completion of two years of technical training in office administration / secretarial science or formal education in arithmetic that
includes addition and subtraction and reading and writing common English vocabulary. Also requires one course or six months experience in typing or keyboarding and one course or six months experience in word processing or education, training and / or experience in an amount equal to the minimum qualifications stated above.
** Additional Qualifications (Agency/Dept. Qualifications):**
Previous experience in work processing; detail oriented and good reading comprehension is highly
encouraged. Good organizational skills, ability to work independently, attention to detail, ability to monitor own work for quality assurance; independent worker. Previous experience with Child Support, Support Enforcement Tracking System (SETS), litigation and / or preparing legal documents; must be able to multi-task.
