Position Summary The Client Administrator’s primary focus is supporting administrative tasks associated with the sales process at Wiggam Law. This includes generating and sending key legal engagement documents to potential clients, entering data in our Case Management systems, and helping handle inbound phone calls when the receptionist is busy or unavailable. The successful candidate is very detail-oriented and possesses strong administrative skills. The ideal candidate is comfortable with some interactions with clients, such as emailing documents, answering phone calls, and greeting client guests. Responsibilities: • Create entries with required client information to maintain data quality in our Lawmatics and Clio Manage case management systems and ensure records are kept up-to-date • Enter notes from attorney calls into Lawmatics • Create and send engagement documents for new clients, including engagement letters and credit card authorization forms • Draft Power of Attorney (POA) forms and submit POAs for new clients • Track and follow up with new clients who have not returned engagement documents or have not paid retainers and fees • Help onboard new clients by sending welcome letters and setting tasks for paralegals and attorneys • Answer firm phone calls when the receptionist is unavailable; transfer calls and/or take messages as appropriate • Document all client-related work; create and update records, ensuring the accuracy of information in multiple firm software applications • Collaborate well with sales teammates, including Client Service Coordinators and Client Intake Specialists Qualifications: • Technical degree or higher level of education preferred or equivalent experience • One or more years of experience in a professional office environment in an administrative role • Strong administrative skills with experience in creating and distributing documents • Strong attention to detail and work review to ensure accuracy • Independent worker with a focus on firm procedures to organize and prioritize tasks • The ability to manage time efficiently • Proficient with Microsoft Office and Google applications and easily adapts to legal cloud-based software and applications What we offer: • Generous benefits package • Competitive compensation • Accrued paid time off • Employer-provided health insurance • Dental and vision insurance are available • Paid group disability and life insurance policy • Up to 4% 401K match • An annual retirement contribution from the firm’s profit-sharing plan • Paid parking or monthly MARTA fare • The position also includes a further growth opportunity to sell our legal services directly to clients once the Client Intake Specialist can successfully sell paid attorney consultations.
