Key Responsibilities:
Client Interaction:
First Impressions Matter: Handle incoming client calls with grace and professionalism, ensuring that every client feels valued from their very first interaction with our company.
Customer Care: Always prioritize clients' needs, ensuring that they leave every interaction feeling enthusiastic about how they were treated.
Positive Demeanor: Uphold a courteous and pleasant demeanor, both in person and over the phone, contributing positively to the team's spirit.
Service Excellence: Ensure the phone is answered by the third ring with the approved company greeting and dispatch all service calls efficiently to maximize client satisfaction.
Appointment Scheduling: Manage the dispatch board to keep field personnel productive, prioritizing efficiency without compromising client satisfaction.
Office Management:
Welcoming Environment: Greet clients and visitors warmly, answer phones, and handle general inquiries to maintain a welcoming office atmosphere.
Organization: Maintain a well-organized and efficient office space, managing supplies to ensure smooth daily operations.
Continuing Education:
Team Training: assist in organizing and developing continuing education for our team members
Personal Growth: Take ownership of creating and executing your own personal development plan.
Document Management:
Documentation: Create and maintain project-related documents, contracts, and invoices, organizing both digital and physical files for easy access.
Communication:
Clear Messaging: Draft and proofread emails, letters, and other communications intended for clients, suppliers, and internal team members.
Facilitation: Foster clear communication between office staff, field teams, and management.
Appointment Scheduling:
Communication with clients to schedule projects, appointments, and site visits, collaborating with production to keep clients aware of changes as needed.
Health and Safety Compliance:
Safety Documentation: Assist in ensuring compliance with health and safety regulations, maintaining up-to-date safety documentation.
Qualifications
High school diploma; additional administrative or business-related education is a plus.
Previous operations experience, ideally within the construction or roofing industry.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Stellar organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Keen attention to detail and an independent work style.
Familiarity with basic project management concepts is advantageous.
Preferred Attributes:
• Knowledge of roofing terminology and basic construction processes.

Job Requirements:
40-45+ hours / week
Must be in office location, western Massachusetts
Ability to work weekends / evenings as needed
