    We are currently seeking a Client Fleet Coordinator, a pivotal role within our organization. The ideal candidate provides support for all sales activities and ensures that the company image is represented in a very professional manner. They will be responsible for managing the acquisition, upfitting, and delivery of vehicles for our clients, ensuring seamless coordination and communication throughout the process. This role involves close interaction with dealerships, upfitters, and clients to secure vehicles, quotes, and necessary documentation. The ideal candidate will be detail-oriented, have strong communication skills, and possess the ability to manage multiple tasks effectively while maintaining excellent client relations.

    Key Responsibilities: • Vehicle Acquisition:

    Locate and acquire vehicles from dealer stock and place new vehicle orders as needed.

    Coordinate with dealerships to ensure timely delivery and accurate order processing.

    • Upfitting & Graphics:

    Secure upfitting and graphic quotes from vendors.

    Coordinate with upfitters to ensure vehicles meet client specifications.

    • Purchase Orders & Credit Verification:

    Issue purchase orders and verify credit standing for existing lease clients.

    Ensure all financial documentation is accurate and up-to-date.

    • Documentation & Auditing:

    Prepare, audit, and verify lease contracts, invoices, and other necessary documents.

    Ensure accuracy in the lease worksheet and confirm correct tax rates.

    • Delivery Coordination:

    Schedule and coordinate vehicle deliveries in a timely and efficient manner.

    Ensure all delivery-related documentation is completed and accurate.

    • Client Education & Support:

    Provide exceptional client support, maintaining outstanding relations through timely follow-up and resolution of issues within 4 hours or less.

    Maintain client understanding of pricing and features related to fuel and maintenance programs.

    Assist clients with vehicle and driver enrollment in fuel and maintenance programs.

    • Enrollment & Verification:

    Complete vehicle enrollment forms and verify the accuracy of Vehicle Maintenance Guides.

    Assist with vehicle information uploads for fuel and maintenance enrollment.

    Qualifications:

    • Proficiency in Excel and Word • Proficiency in bookkeeping and data entry • Strong attention to detail and organizational skills. • Excellent communication and interpersonal abilities. • Ability to manage multiple tasks and prioritize effectively. • Knowledge of vehicle upfitting, leasing, and maintenance programs is a plus. • Prior experience at a car dealership or in fleet management is a plus
